Time zone: US Time zone (Central Standard Time)

Holidays: United States of America (New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving, and Christmas Day)

Salary: Up to PHP 60,000.00 per month

(Rate will depend on your experience, skill set, and the client’s approved budget)


Important:

This is an Independent Contractor role. Candidates are expected to provide their own work equipment, including a desktop and/or laptop, noise-canceling headset, webcam, and a reliable high-speed internet connection. Minimum device requirements include at least an Intel i3 processor (or equivalent) with 8GB RAM, unless a higher specification is required for the role.

Role Summary:

We are seeking a highly organized and detail-oriented HR Admin Support / Onboarding Specialist to support daily Human Resources operations, onboarding coordination, temporary workforce administration, and cross-functional collaboration with hiring managers and IT teams.


This role plays a critical part in ensuring a smooth onboarding experience for new hires while maintaining accurate HR records, supporting workforce coordination, and assisting with administrative HR functions. The ideal candidate is proactive, process-driven, responsive, and comfortable managing multiple priorities in a fast-paced environment.


Responsibilities:

Onboarding Administration

  • Coordinate and manage the full onboarding process for all new hires
  • Ensure completion of onboarding documentation, compliance forms, and policy acknowledgements
  • Monitor onboarding progress and follow up with employees and managers to ensure deadlines are met
  • Support first-day readiness, including orientation schedules, onboarding materials, and system access coordination
  • Reissue onboarding links and assist employees with onboarding-related issues as needed


IT Systems & Equipment Coordination

  • Submit and manage IT service tickets for employee onboarding requirements
  • Coordinate system access, software setup, account creation, and equipment requests
  • Work closely with hiring managers to determine onboarding and equipment needs before employee start dates
  • Partner with IT teams to ensure all onboarding requests are completed on time
  • Track onboarding-related IT requests and escalate delays when necessary
  • Assist employees with password resets and access-related concerns


Temporary Workforce Administration & Invoice Processing

  • Support onboarding and tracking of temporary workforce employees
  • Maintain accurate records of temporary worker assignments, status updates, and extensions
  • Coordinate with hiring managers regarding workforce needs and assignment changes
  • Review and process temporary staffing invoices for accuracy and completeness
  • Investigate and resolve invoice discrepancies with staffing vendors and internal teams
  • Ensure labor expenses are allocated to the correct departments and cost centers
  • Track and document temporary-to-permanent employee conversions


HR Operations Support

  • Serve as a primary point of contact for onboarding and HR administrative inquiries
  • Collaborate with hiring managers and internal stakeholders to ensure smooth HR operations
  • Assist the Head of Human Resources with administrative support, reporting, and special projects
  • Maintain organized and confidential HR records and documentation
  • Support process improvements related to onboarding and workforce administration


Qualifications and Skills:

  • Previous experience in HR Administration, Onboarding, Recruitment Coordination, or HR Operations preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Experience working with HR systems, onboarding platforms, or ticketing systems is a plus
  • Strong attention to detail and ability to manage deadlines
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Ability to work independently while collaborating across departments
  • Experience supporting temporary workforce administration or invoice processing is an advantage
