Administrative Assistant / Accounting Clerk (AP/AR Focus) – Direct Hire
Location: Wixom, Michigan – On-Site
Job Type: Full-time
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Pay: $20.00 – $25.00 per hour (based on experience)
Position Overview
We are seeking a reliable and detail-oriented Administrative Assistant / Accounting Clerk to support daily accounting operations and general office administration. This role will primarily assist with Accounts Payable (AP) and Accounts Receivable (AR) functions while helping maintain smooth day-to-day office operations. The ideal candidate is highly organized, comfortable multitasking, and experienced in handling financial records. Experience with QuickBooks is strongly preferred.
Key Responsibilities
Accounting & Financial Support
Accounts Payable (Outgoing Payments)
- Review and verify vendor invoices for accuracy and completeness
- Match invoices to purchase orders and supporting documentation
- Obtain internal approvals before payment processing
- Process vendor payments via check, ACH, and wire transfers
- Maintain accurate vendor records and payment history in QuickBooks
Accounts Receivable (Incoming Payments)
- Generate and distribute customer invoices in a timely manner
- Post and apply customer payments to appropriate accounts
- Monitor accounts for overdue balances and assist with collections
- Follow up with customers regarding outstanding invoices
Reconciliation & Reporting
- Reconcile bank statements, credit card statements, and general ledger accounts
- Assist with month-end closing processes
- Prepare Accounts Receivable aging reports and other financial reports as needed
- Ensure accuracy of financial records through consistent data entry and reconciliation
Vendor & Customer Relations
- Respond to vendor and customer inquiries regarding invoices and payments
- Investigate and resolve billing discrepancies or disputes
- Maintain organized and accurate financial documentation and records
Compliance
- Ensure compliance with company policies, accounting procedures, and internal controls
- Assist with maintaining records for audits and financial reporting
- Support adherence to applicable tax regulations and financial policies
Administrative & Office Support
- Answer incoming phone calls and respond to customer inquiries
- Communicate professionally with customers, vendors, and team members
- Maintain organized physical and digital filing systems
- Scan, file, and archive financial and administrative documents
- Sort and distribute incoming mail and prepare outgoing correspondence
- Photocopy and print documents for staff as needed
- Perform general clerical and administrative duties
Office Operations
- Greet visitors and provide front-desk assistance when needed
- Assist with booking travel arrangements when required
- Manage multiple tasks and priorities in a fast-paced office environment
- Help ensure office equipment operates properly by coordinating preventative maintenance and repairs
- Assist with evaluating and organizing office equipment and supply needs
Qualifications
- Experience with QuickBooks strongly preferred
- Strong attention to detail and organizational skills
- Excellent verbal and written communication skills
- Ability to multitask and meet deadlines in a busy office environment
- Proficiency in data entry and general office software
- Professional attitude and strong customer service skills
- High school diploma or equivalent required
Preferred Experience
- Data entry: 1+ year
- Administrative or office support: 1+ year
- Bookkeeping or accounting support: 1+ year
- Customer service: 1+ year
- Administrative Assistant experience: 3+ years preferred
