Client is a private multi-family office in Santa Monica that preserves and compounds wealth across generations through disciplined real estate and alternative investments. In this role you will sit at the center of principal decision-making, converting family objectives into executed strategies that protect capital and create lasting impact for a handful of ultra-high-net-worth families.
They are seeking an Associate Director with a wealth of experience in bookkeeping, accounting or client services. The role involves supporting clients' day-to-day financial operations while also providing concierge-level assistance across their broader administrative needs. Strong communication and interpersonal skills are essential, including the ability to translate complex financial data into clear, accessible insights to build lasting relationships and connect with the families we work serve.
This role can be based in our Manhattan Beach or Newport Beach offices, reporting to the Managing Director.
Role & Responsibilities
• Serve as a primary point of contact for clients, their families, and their external service providers.
• Maintain centralized documentation and manage access controls.
• Oversee household and entity accounts payable and receivable.
• Categorize and reconcile expenses, ensuring accuracy and adherence to established budgets.
• Assist with the subscription process and ongoing administration of private fund investments.
• Support the monitoring and analyzing client investment portfolios.
• Help prepare reports on investment performance and financial reporting on a monthly, quarterly, and annual basis.
• Monitor charitable giving throughout the year to ensure gifting remains aligned with annual tax targets and philanthropic objectives.
• Coordinate relationships with external service providers, such as lawyers, accountants, trust administrators, and investment managers to ensure integrated planning.
• Work with tax professionals to ensure proper tax filings and compliance with tax laws.
• Track tax liabilities, charitable donations, and other estate planning initiatives.
• Support the onboarding of new client relationships, including gathering information, organizing account information and coordinating account openings.
• Prepare agendas and materials for client meetings and ensure timely follow-through on action items.
• Handle sensitive information with discretion and maintain confidentiality.
• Manage risk and assisting Firm in adhering to regulatory compliance and operational policies and procedures.
Qualifications
• 3-5+ years prior client-facing financial services experience in bookkeeping, accounting, and/or bill pay.
• Prior experience at an RIA, Family Office or large accounting firm.
• Bachelor’s Degree required; advanced degrees or designations are considered, but not required.
• Familiarity with Addepar, Charles Schwab, and Bill.com preferred.
• Thrives in project management, is well-organized and deadline driven.
• Has a professional and polished presence, while also showing warmth and care.
• High level of integrity, discretion, and emotional intelligence.

• The expected compensation for this role will be $120,000+ per year commensurate with experience, job-related skills, relevant education, licenses, certifications and other business and organizational needs.
