WHAT WE’RE LOOKING FOR

We’re looking for a full-time Executive Assistant who sees calendar and time management as a craft. Someone who doesn’t just schedule meetings, but thoughtfully designs days—balancing focus, energy, relationships, and real life. You take pride in creating order, protecting time, and making complex schedules feel intentional and humane.

This role is for someone who wants to be a true partner to senior leadership, bringing judgment, confidence, and proactive decision-making to how time is spent. You will act as a central point of access to senior leadership, helping manage how and when people engage with the team.



IN THIS ROLE, YOU WILL

  • Serve as a central Executive Assistant across three leaders, spending approximately 50% of your time supporting the CEO and 25% each supporting two Senior Vice Presidents.
  • Treat calendar management as a strategic function—designing days and weeks that allow leaders to do their best thinking and work, while owning complex, multi–time zone scheduling across travel, transitions, meals, and personal commitments. 
  • Act as a gatekeeper by prioritizing requests, declining or reshaping meetings when they aren’t the best use of time, including identifying redundancies, blockers, or opportunities to delegate
  • Make informed recommendations about which meetings matter most, rather than defaulting decisions upward, based on goals, relationships, and current priorities
  • Manage inboxes and communication flow to reduce noise, protect focus, and represent leaders with confidence and discretion in written communication
  • Build in and defend personal time, ensuring leaders have space outside of work
  • Coordinate with external stakeholders, partners, and prospective clients with a polished, professional presence
  • Notice where work or decisions are stalled and proactively help move things forward through coordination, follow-up, or reframing requests
  • Plan and book travel when needed, with strong attention to logistics, preferences, and context
  • Support light personal coordination for the CEO in partnership with their family calendar
  • Ability to work both synchronously and asynchronously using Slack, email, and Asana while staying highly organized and responsive



YOU’LL SUCCEED IF YOU HAVE

  • 3–5+ years of experience supporting senior leaders as an Executive Assistant or similar role
  • A reputation for being exceptional at calendar and time management—not just organized, but thoughtful
  • Strong judgment and the confidence to push back respectfully
  • A proactive, ownership-driven approach—you anticipate needs and act before being asked
  • Clear, professional written communication skills
  • Comfort working independently in an asynchronous environment
  • Experience with Google Workspace, Slack, Asana, and virtual meeting tools
  • High attention to detail, especially around scheduling, logistics, and travel



NICE TO HAVE

  • Experience supporting founders or C-suite leaders
  • Background in agency, consulting, or professional services environments
  • Interest in long-term growth, including potential paths toward Chief of Staff or Operations roles
  • Comfort joining select meetings for context (not note-taking)
