Rate: $3,000-$3,500 per month

WHAT WE’RE LOOKING FOR

We’re looking for an operationally-minded leader who can bring structure, visibility, and accountability to how creative work moves through the agency. This person thrives in fast-paced environments, understands how to balance people and project realities, and can proactively solve resourcing and workflow challenges before they become problems.


IN THIS ROLE, YOU WILL

Resourcing (Primary Focus - 60%) 

  • You are fully accountable for all resourcing outcomes across the agency. 
  • Own the resourcing/time tracking dashboard and/or tools. 
  • Lead weekly resourcing conversations with department heads. 
  • Flag bandwidth gaps, resource outages, and potential underburn ahead to ensure most efficient resource plans in place. 


Project Management & PM Oversight (30%) 

  • Standardize how work moves through the agency from briefing to delivery.
  • Audit and continuously improve project management tools and workflows. 
  • Surface burnout, morale, and skill-gap risks to the right manager and hold them accountable for resolving it. 
  • Monitor project health and flag risk early with other department heads.
  • Translate financial targets (from MD + Finance) into staffing and workflow decisions. 


Freelance Outreach & Coordination (10%) 

  • Maintain an active, pre-vetted bench of A-player freelancers across every discipline we hire (creative, strategy, production, design, etc.). 
  • Place freelancers within 2-3 days of need. 
  • Own freelance onboarding, rate negotiation, and offboarding. 
  • Track freelance performance. 


YOU’LL SUCCEED IF YOU HAVE

  • Experience leading creative operations, resource management, or agency operations functions.
  • Strong understanding of agency workflows across creative, strategy, production, and project management.
  • Proven ability to manage resourcing across multiple simultaneous projects and priorities.
  • Exceptional organizational skills with strong operational judgment.
  • Experience building systems, improving workflows, and driving operational consistency.
  • Comfort working cross-functionally with department leads and executive stakeholders.
  • Strong communication skills with the ability to create alignment and accountability.
  • A proactive, solutions-oriented mindset with high ownership and follow-through.


NICE TO HAVE

  • Experience managing offshore or distributed project management teams.
  • Familiarity with agency resourcing and PM platforms.
  • Experience scaling operational systems in a growing agency environment.
  • Background in freelance talent operations or vendor management.
  • Exposure to utilization forecasting and operational planning.
