This role is with One of Our Amazing Partners — a fast-moving team building meaningful work with global impact. The company is in an active growth phase and is building the operational infrastructure needed to support a growing client portfolio, internal team, and long-term scalability.
WHAT WE’RE LOOKING FOR
We’re looking for a highly organized, proactive Project Manager who can step into a growing business, take ownership of operational workflows, and meaningfully reduce the day-to-day load on leadership. This is not a passive coordination role — we need someone who can independently keep projects, communication, and timelines moving forward without requiring constant direction.
The ideal candidate brings strong project management instincts, experience working in fast-paced client-service or agency environments, and the ability to turn conversations into action. You’re someone who notices gaps, follows through consistently, and helps create structure in evolving environments.
IN THIS ROLE, YOU WILL
- Coordinate calendars, meetings, and schedules across multiple time zones
- Manage project timelines, workflows, and task tracking inside Asana
- Attend client and internal meetings, capture action items, and ensure follow-through
- Translate discussions and decisions into organized next steps, owners, and timelines
- Maintain alignment across project trackers, deliverables, and communication channels
- Support client communication by coordinating meetings, updates, and operational follow-through
- Facilitate communication between leadership, strategists, vendors, creatives, and developers
- Organize and maintain digital assets in Google Drive and Dropbox
- Help improve operational systems, workflows, templates, and documentation over time
- Proactively identify bottlenecks, scheduling conflicts, or risks before they become larger issues
YOU’LL SUCCEED IF YOU HAVE
- 3+ years of experience in project management, operations, account coordination, or agency support roles
- Experience working in agency, marketing, creative, or client-service environments
- Strong proficiency with Asana, Google Workspace, Dropbox, and scheduling tools
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills in English
- The ability to independently prioritize work and manage shifting priorities
- A proactive, ownership-oriented mindset with strong follow-through
- Sound operational judgment and the ability to escalate strategically when appropriate
- Comfort operating in fast-moving, evolving environments where processes are still being refined
NICE TO HAVE
- Experience supporting founders, executives, or managing directors
- Familiarity with SOP development or workflow optimization
- Experience coordinating external vendors or freelancers
- Exposure to marketing campaigns, creative production, or digital projects
- Experience helping build or improve operational systems within growing teams
