What we're looking for
We are a US-based science-driven wellness brand specializing in healthy aging supplements and practitioner-recommended formulations, trusted by more than 25,000 healthcare professionals. We are looking for a detail-oriented E-commerce Bookkeeper who can own the numbers end-to-end, from daily transaction coding to monthly financial statements, without needing to be micromanaged.
What You’ll Be Doing
- Maintain and reconcile multiple QuickBooks Online ledgers, including high-volume transaction accounts, accounts payable, and accounts receivable.
- Manage full-cycle accounts payable across two entities (one using Bill.com), entering and scheduling payments with proper segregation of duties.
- Handle invoicing for wholesale customers, from importing packing lists to creating and sending invoices and tracking receivables.
- Reconcile clearing accounts across payment processors (Shopify, PayPal, Authorize.net) using A2X to import and map e-commerce sales data into QuickBooks.
- Prepare monthly journal entries, balance gift cards and clearing accounts at month-end, and generate P&L, balance sheet, and cash flow reports.
- Flag discrepancies, maintain consistent account mappings for revenue, fees, and taxes, and support sales tax tracking and compliance.
Requirements
- Strong, hands-on expertise in QuickBooks Online (non-negotiable).
- Proven experience with month-end close procedures, bank reconciliation, and financial statement generation.
- Solid understanding of accounts payable, accounts receivable, and high-volume transaction reconciliation.
- Familiarity with US accounting principles and the ability to handle both detailed daily tasks and higher-level reporting.
- Ownership mindset: you flag issues proactively rather than waiting to be told.
- Proficiency in Excel, including pivot tables.
Nice to Have
- Experience with A2X (easy to learn, not a dealbreaker).
- Familiarity with Bill.com, Shopify, PayPal, or Authorize.net.
- HIPAA certification or prior experience in medical or concierge health settings.
