What we're looking for 

We're hiring on behalf of a fast-growing UK digital marketing agency that's building a reputation for sharp creative work and even sharper client relationships. They're looking for a Client Success & Operations Coordinator to sit at the heart of the business, keeping clients informed and happy while making sure the internal engine runs smoothly. This role reports directly to the agency's Co-Founder & Director and works closely with the creative team to ensure nothing falls through the cracks.


What You’ll Be Doing

  • Manage day-to-day client communications via Slack and email, acting as the go-to contact so the creative team can focus on deliverables.
  • Run client onboarding from start to finish, including contracts, system setup (app, Slack, Shade), onboarding forms, and gathering branding assets.
  • Plan and manage the invoicing schedule, creating and tracking invoices, payments, and financial documents for the leadership team.
  • Support employee onboarding by drafting offer letters and contracts, setting up system access, and creating onboarding plans and trackers.
  • Keep Google Drive and Notion organised, and maintain SOPs in Miro and Notion so the team always knows where things live.
  • Manage tool access and renewals (e.g., Higgsfield AI, Shade) and provide calendar and admin support to the leadership team.


Requirements

  • Previous experience in a client-facing role within an agency or creative environment.
  • Strong communication skills, with the ability to represent the agency professionally with clients.
  • Exceptional organisation and a sharp eye for detail.
  • The ability to manage multiple workstreams at once without dropping the ball.
  • A proactive mindset. You spot what needs doing and get on with it.
  • Confidence working across Google Workspace, Slack, Notion, and Miro (or the ability to learn quickly).
  • Full-time availability, with core hours of 11 AM to 3 PM UK time.

  • Experience working within a creative or digital agency environment.
