What we're looking for 

A fast-growing US-based health and wellness company is looking for a highly organised Executive Assistant to support their founder and CEO directly. This is a lean, process-driven team where precision, autonomy, and a proactive mindset are everything. If you thrive in a fast-paced environment and love bringing order to complexity, this role is for you.


What You’ll Be Doing

  • Manage the CEO's calendar and coordinate meetings across time zones with accuracy and care.
  • Handle AI-powered note-taking during meetings and distribute clear, well-structured summaries to all relevant attendees.
  • Prepare daily morning briefings and keep the CEO informed and prepared for what's ahead.
  • Build and maintain organised digital file systems and document structures that the whole team can rely on.
  • Own follow-up coordination, tracking action items from meetings, and sending timely reminders to keep things moving.
  • Support with personal admin tasks as needed, with scope defined by the CEO.


Requirements

  • Strong calendar and meeting management skills with an eye for detail.
  • Hands-on experience with AI tools for note-taking, summarising, and briefing.
  • High tech fluency and comfort picking up new tools quickly (Asana experience is a strong plus).
  • Exceptional organisational instincts, from file architecture to follow-up systems.
  • Strong written English and a commitment to quality in every output.
  • A self-starter attitude, you can take a brief and run with it without needing constant direction.


Nice to Have

  • Previous experience supporting a founder or C-suite executive.
  • Comfort managing both professional and personal admin tasks in a trusted capacity.
  • Interest in health and wellness.
