What we're looking for
A fast-growing UK-based e-commerce creative agency, focused on producing high-performing paid social content for global brands, is looking for an Operations & Admin Assistant. This is a role for someone who takes real pride in building systems that actually work, keeping things running smoothly behind the scenes while the creative team focuses on delivering great work for clients.
What You’ll Be Doing
- Handle invoicing and financial admin, including creating and tracking client invoices, chasing payments, and organising receipts for C-Suite access.
- Manage client onboarding from start to finish, setting clients up across the agency's tools, coordinating contracts, and gathering branding assets.
- Support employee onboarding by drafting offer letters, setting up system access, and building onboarding trackers.
- Keep Google Drive, Notion, and Miro organised and up to date, including maintaining and improving SOPs.
- Administer the agency's digital asset management platform (Shade), including folder structure, permissions, and ongoing media migration.
- Provide calendar and general admin support to C-Suite, and assist with process documentation and development.
Requirements
- Proven experience as an EA, operations assistant, or similar role in an agency or creative environment.
- Strong organisational skills and sharp attention to detail, you notice what others miss.
- Confidence in managing multiple workstreams at once without losing track of priorities.
- Clear, professional communication with both internal teammates and external clients.
- Hands-on experience with Google Workspace, Slack, Notion, and Miro (or the ability to pick up new tools quickly).
- A proactive mindset, you identify what needs doing and take ownership of it.
- Familiarity with digital asset management tools or project management platforms.
