Job Title: Billing Resolution Specialist

Location: Kennesaw, GA 

Classification: Full-Time, Exempt 

Reports to: Audit Supervisor 

 

Overview: 

The Billing Resolution Specialist is responsible for working directly with customers, internal employees, and our carrier partners to answer questions and resolve issues. Facilitate freight reconsignments, by working with the client and carriers, and providing accurate pricing. Research, investigates, and resolves billing discrepancies between contracted pricing and service providers by reviewing invoices and communicating with internal teams and external parties to ensure timely and accurate resolution.


Key Responsibilities 

Customer and Carrier Communication:

Act as a liaison between logistics customers, carrier partners, and internal departments (billing, operations, and sales) to address questions and ensure clear resolution paths.

Freight Reconsignment Coordination:

Manage and facilitate reconsignment requests by working with clients and carriers, validating new delivery details, and calculating accurate pricing for rerouted shipments.

Investigate and Resolve Discrepancies 

  • Analyze billing errors and discrepancies, gather necessary evidence and documentation, and apply solutions to resolve them.
  • Validate rating logic including base rates, discounts, accessorials, and fuel surcharges. 
  • Provide detailed explanations to customers regarding discrepancies.
  • Submit dispute to carrier partners for resolution.
  • Ensure timely entry and accuracy of all audit records in Odyssey’s Transportation Management System (TMS). 

Financial & Compliance Accuracy 

  • Support margin protection by confirming buy-side vs. sell-side alignment on shipments. 
  • Maintain dispute-ready records in compliance with Odyssey’s financial controls and client requirements. 
  • Assist in internal and external audit reviews by preparing documentation and summaries of findings. 
  • Follow SOPs and work instructions to ensure consistency across audit processes. 

Collaboration & Communication 

  • Partner with carrier partners to validate invoices and resolve discrepancies. 
  • Communicate audit findings with operations, procurement, and finance teams. 
  • Provide feedback on recurring issues, systemic errors, or contract misalignments. 
  • Support the Audit Support Supervisor with reporting and performance metrics. 

Process Improvement & Reporting 

  • Assist in preparing weekly and monthly audit reports to track KPIs such as audit accuracy, recovery amounts, and resolution timelines. 
  • Contribute feedback to identify recurring issues and opportunities for process improvement. 
  • Support system testing, automation pilots, and workflow enhancements under the direction of the Audit Support Supervisor. 

 

Required Skills & Experience 

  • Associate or Bachelor’s degree in Accounting, Finance, Business, or Supply Chain preferred; equivalent work experience accepted. 
  • 1–3 years of experience in freight audit, billing, or financial operations (LTL/TL experience highly preferred). 
  • Strong working knowledge of freight rating, accessorials, and common billing practices. 
  • Proficiency in Microsoft Excel (lookups, pivot tables, formulas)
  • Experience with TMS platforms and carrier billing systems preferred. 
  • High attention to detail and ability to process large data volumes accurately. 
  • Strong communication and problem-solving skills. 
  • Ability to manage workload and meet deadlines in a fast-paced environment.
