We are seeking an experienced and motivated Intake Manager to lead and optimize the firm’s client intake department — the front line of communication for individuals seeking justice after life-changing events. This role is critical to ensuring that every prospective client receives the highest level of care, empathy, and responsiveness from their very first call.

Key Responsibilities

• Oversee daily operations of the intake team, ensuring all calls, web leads, and referrals are handled with professionalism and empathy.
• Serve as the first point of contact for potential clients — setting the tone for trust, compassion, and confidence in the firm’s services.
• Train, mentor, and coach intake specialists to consistently deliver high-quality client interactions and accurate eligibility assessments.
• Implement and monitor intake performance metrics (response time, conversion rate, call quality, etc.) to drive team efficiency and success.
• Coordinate onboarding for new clients, ensuring all documentation, medical records, and case details are captured accurately.
• Collaborate with attorneys and case managers to ensure a seamless transition from intake to active case management.
• Identify and recommend process improvements and technology enhancements to streamline workflows and enhance data accuracy.
• Maintain and enforce quality assurance standards, reviewing calls and documentation for professionalism, compliance, and completeness.
• Contribute to the firm’s growth by fostering a positive, collaborative, and client-centered culture within the intake department.

Qualifications

• 3+ years of experience managing or leading intake operations in a personal injury law firm (or closely related legal environment).
• Strong understanding of personal injury case intake, client eligibility assessment, and insurance claim setup.
• Proven ability to train, motivate, and develop high-performing teams.
• Excellent verbal and written communication skills, with a compassionate approach to client service.
• Proficiency with CRM and case management systems (e.g., Litify, CasePeer, RingCentral).
• Strong organizational, analytical, and multitasking skills.
• Bilingual (English/Spanish) preferred but not required.
• High emotional intelligence and professionalism when dealing with sensitive client matters.

Compensation & Benefits

💰 Salary Range: $75,000 – $95,000 (commensurate with experience)
