We are currently in search of a Temporary Operations Coordinator for a Nonprofit Organization. The position is in-person in New York, NY. This is a Part-time, temporary position.

 

ORGANIZATION TYPE: Reproductive Health Nonprofit 

LOCATION: New York, NY (Lower Manhattan) 

POSITION TITLE: Operations Coordinator

SCHEDULE: Part-time, 32 hours/week, In Person, 9 to 5

DURATION: Temporary (6-8 weeks) 

HOURLY RATE: $24.00 - $26.00

The Temporary Operations Coordinator provides administrative and operational support to the Finance & Administration Division, helping ensure the smooth day-to-day operation of the organization. This role supports a variety of functions, including office operations, Board Affairs, meetings and events, travel coordination, vendor management, and general administrative services.

The ideal candidate is highly organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced environment. 


 

Our Ideal Candidate: 

  • 2+ years of administrative, operations, or office coordination experience required.
  • Experience supporting C-suite executives, senior leadership, or executive-level professionals is strongly preferred.
  • Nonprofit experience is a plus.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with Microsoft Teams and Asana or similar project management software preferred.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication and customer service skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience with meeting/event coordination, travel arrangements, vendor management, or office operations is a plus.
  • Familiarity with BoardEffect/Diligent, SharePoint, travel booking platforms, or Nexonia/SmartData is a plus.


 

How You Will Spend Your Day: 

  • Provide administrative and operational support to the Finance & Administration Division, including Operations, Board Affairs, Meetings & Events, and the Travel Desk.
  • Monitor and respond to operational requests, coordinate office supplies, maintenance, repairs, workspace moves, furniture requests, vendors, and purchasing activities.
  • Support executive leadership and senior staff with scheduling, calendar invitations, meeting logistics, administrative coordination, and special projects.
  • Assist with Board and Committee meetings, including scheduling, Zoom coordination, calendar invitations, posting materials through BoardEffect/Diligent, and supporting Board member travel.
  • Coordinate internal meetings, retreats, and special events, including conference room reservations, catering, AV/hybrid meeting support, vendors, and event materials.
  • Process travel authorization forms and reports and assist with domestic and international travel arrangements, hotels, ground transportation, approvals, and recordkeeping.
  • Maintain accurate electronic records, filing systems, and departmental documentation.
  • Submit invoices through Nexonia/SmartData and assist with Uber account setup and other administrative systems.
  • Provide general administrative support to the Director of Board Affairs, Meetings & Events, and Operations.
  • Assist with special projects and departmental initiatives while maintaining a high level of professionalism, confidentiality, and attention to detail.
