Do you have a background in administrative support for a nonprofit? Do you have experience with providing donor support and gift processing?


We are currently in search of an Administrative Assistant for an International Education organization. This is a Fully Remote, Full-Time, Temporary (~3-4 mos.) assignment.

 

ORGANIZATION TYPE: International Education

LOCATION: Fully Remote

POSITION TITLE: Administrative Assistant

SCHEDULE: Full Time (37.5 hrs./wk.)

DURATION: Temporary (~3-4 mos.)

HOURLY RATE: $18-21/hr. DOE

 

Is This Your Dream Job? The Administrative Assistant will assist the Donor Engagement team with end-of-year donor stewardship, follow-up, and gift-processing tasks.   

 

Our Ideal Candidate:


  • 1+ years of administrative assistant experience preferably in the nonprofit sector
  • Experience with Salesforce and/or CRM experience, as well as donation platform experience required
  • Ability to travel to the post office frequently to send donor correspondence required
  • Proactive, ability to meet tight deadlines, prioritize tasks, and manage multiple workstreams
  • Strong attention to detail and adherence to all Donor Engagement SOPs and templates
  • Strong verbal and interpersonal communication skills
  • Proficiency using Google Suite, Excel, and Zoom


 

How You Will Spend Your Day:


Donor Support


  • Assist with the organization's phone system:


o Includes voicemail retrieval and summaries for Donor Engagement team follow-up; and

o Coverage of phone line, as needed


  • Sending handwritten Thank You cards to donors based on existing Donor Engagement templates
  • Sending handwritten Tribute / Honoree cards on behalf of donors who provide a gift in someone else’s name, based on existing Donor Engagement templates
  • Sending blank Tribute / Honoree cards by mail to donors, as requested, following end-of-year gifts with a printed copy of the organization's overview report for donors to include with cards
  • Emailing correspondence to donors based on existing Donor Engagement email templates – this will include, but will not be limited to the following:


o Confirmation of credit card processing for end-of-year gifts

o Confirmation of gifts received (checks, stock gifts, DAFs) upon outreach from inquiring donors

o Sending of donor personalized E-cards for Tribute / Honoree gifts

o Additional correspondence, as needed, as assigned by the Manager, Donor Engagement


  • Personalizing, printing, and sending Welcome Letters via mail to new members of the organization
  • Additional tasks as assigned by the US Development team, as needed


Gift Processing Support


  • Canceling donations via FundraiseUp donor platform as assigned by the Manager, Donor Engagement while following all Donor Engagement SOPs
  • Third-party gift entry, as needed
