We are currently in search of an Accounting & Purchasing Specialist for a Cultural Arts & Community Organization. The position is on-site in Staten Island, NY. This is a full-time, temporary-to-permanent opportunity.

HOURLY RATE: $20.00 - $22.00 (anticipated annual salary: $46,000)

This role is ideal for an early-career accounting professional who is detail-oriented, organized, and comfortable managing accounts payable and vendor payments. The Accounting & Purchasing Specialist will play an important role in processing invoices and payments, maintaining accurate vendor records, supporting bank reconciliations, and assisting with purchasing and financial operations. The ideal candidate is dependable, calm under pressure, and comfortable following up with vendors and internal departments to ensure payments and financial transactions are handled accurately and on time.
Our Ideal Candidate:
- 1+ year of accounts payable, bookkeeping, or related accounting experience preferred
- Recent college graduates with a degree in Accounting, Finance, or a related field will be considered
- Accounting or finance internship experience is a plus
- Experience processing invoices, check requests, expense reports, or vendor payments
- Experience with bank reconciliations strongly preferred
- Experience with QuickBooks Desktop and/or QuickBooks Online preferred
- Familiarity with other accounting software such as Sage Intacct is a plus
- Strong attention to detail and organizational skills
- Comfortable following up with vendors regarding outstanding payments, invoices, and discrepancies
- Calm, professional, and patient when communicating with vendors and internal departments
- Able to manage multiple priorities and meet deadlines
- Strong Microsoft Office and spreadsheet skills
- Ability to communicate clearly and work collaboratively with colleagues
- Nonprofit accounting experience is a plus
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred
How You Will Spend Your Day:
- Process vendor invoices, expense reports, check requests, and other accounts payable transactions
- Ensure invoices and payments are properly coded, approved, documented, and processed on time
- Prepare and assist with biweekly check runs and payment processing
- Maintain accurate and complete vendor records
- Monitor outstanding accounts payable and follow up on unpaid or outstanding checks
- Perform bank reconciliations and investigate discrepancies
- Assist with monthly accounts payable close procedures
- Maintain organized records and supporting documentation for financial transactions
- Manage and reconcile petty cash activity
- Assist with purchase orders and purchasing processes
- Support inventory reconciliation for supplies and materials
- Monitor corporate purchasing accounts and credit card activity
- Assist with preparing deposit slips and making bank deposits
- Monitor bank account activity and identify unrecognized or unusual transactions
- Assist with quarterly reconciliations and research discrepancies
- Provide payment documentation and financial records for grant reporting when requested
- Maintain accurate documentation in accordance with internal controls and nonprofit accounting practices
- Prepare schedules and gather documentation to support the annual audit
- Work closely with the Controller and finance team on monthly and quarterly close procedures
- Communicate with vendors and internal departments to resolve payment, invoice, and purchasing issues
- Assist with other accounting, purchasing, and financial projects as needed
