We are currently in search of an Executive Assistant for an Environmental Education & Sustainability Nonprofit. The position is fully on-site in Long Island City, Queens, NY. This is a Full-time, temporary-to-permanent position working 35 hours per week.

LOCATION: Long Island City, Queens

POSITION TITLE: Executive Assistant

SCHEDULE: Monday - Friday, 35 hours/week, either 8:00am - 4:00pm or 9:00am - 5:00pm

DURATION: Temporary-to-Permanent

HOURLY RATE: $26.00 - $30.00 (ANTICIPATED SALARY: $78, 000-$82,000 annually)


Is This Your Dream Job? This role is ideal for an experienced Executive Assistant who enjoys providing high-level support to senior leadership and keeping day-to-day operations organized. The Executive Assistant will manage schedules, communications, meetings, Board materials, and administrative priorities while maintaining a high level of discretion and confidentiality. The ideal candidate is proactive, resourceful, detail-oriented, and comfortable working in a fast-paced nonprofit environment.


Our Ideal Candidate:

  • 3–5+ years of executive or senior-level administrative support experience
  • Experience supporting C-suite or senior leadership strongly preferred
  • Strong discretion and ability to handle confidential information
  • Intermediate+ Excel skills
  • Excellent organizational, communication, and time-management skills
  • Ability to manage multiple priorities and anticipate executive needs
  • Strong Google Workspace skills
  • Nonprofit experience preferred
  • HR or HRIS experience is a plus
  • Salesforce experience is a plus
  • Basic bookkeeping or accounting software experience is a plus


How You Will Spend Your Day:

  • Provide administrative support to the CEO and senior leadership
  • Manage calendars, meetings, communications, and scheduling
  • Prepare reports, presentations, agendas, and briefing materials
  • Coordinate Board meetings, materials, communications, and meeting logistics
  • Take meeting notes and assist with follow-up items
  • Coordinate travel and serve as a point of contact for internal and external partners
  • Maintain organized digital files, records, and administrative documents
  • Assist with basic bookkeeping and office operations
  • Support HR-related administrative tasks and other special projects as needed
  • Handle sensitive financial, personal, and organizational information with complete confidentiality
  • Help streamline administrative processes and support other priorities as assigned
