We are currently in search of an Administrative Specialist for a Human Rights Nonprofit Organization. This is a part-time, fully remote position supporting the organization’s day-to-day administrative and operational needs. The ideal candidate is highly organized, communicative, resourceful, and comfortable managing multiple priorities independently.

LOCATION: Remote

POSITION TITLE: Operations & Administrative Assistant

SCHEDULE: Part-time, approximately 24–32 hours/week to start, Monday - Wednesday initially, with the possibility of adding Thursday. Flexible scheduling is available as long as 8 hours are completed per day when scheduled. Must be available during East Coast core hours of 10:00am - 2:00pm for meetings.

DURATION: Temp - Perm

HOURLY RATE: $24.00 - $27.00

Is This Your Dream Job? This role is ideal for an experienced administrative or operations professional who enjoys creating structure, tracking details, and supporting teams behind the scenes. The Administrative Specialist Assistant will help manage state registration deadlines, office operations, digital security processes, onboarding, meetings, travel documentation, and general administrative needs. Because the organization operates across multiple states, this person will need to be highly organized, comfortable working independently, and able to communicate clearly with internal teams and outside consultants.


Our Ideal Candidate:

  • 3+ years of administrative or operations experience
  • Strong organizational, communication, and time-management skills
  • Able to work independently and prioritize multiple tasks
  • Detail-oriented and comfortable handling confidential information
  • Nonprofit experience preferred
  • Experience with Google Workspace, Excel/Google Sheets, Microsoft Office, Salesforce, or Slack is a plus


How You Will Spend Your Day:

  • Track state registration requirements, deadlines, renewals, and required documentation while coordinating with outside consultants
  • Work with Development teams to coordinate weekly meetings and track registration progress
  • Maintain and update standard operating procedures and administrative documentation
  • Support digital security efforts, including tracking organizational platforms, approvals, suspicious emails, and incident response documentation
  • Coordinate with IT support on technology and security-related needs
  • Manage shared office space logistics, including conference room reservations, usage tracking, and requests from external partners
  • Monitor shared operations and administrative email accounts and route messages to the appropriate team members
  • Check the organization's main voicemail daily and direct messages to the appropriate staff
  • Order office supplies and maintain administrative inventory
  • Support employee onboarding, including laptop and equipment coordination
  • Monitor organizational travel calendars and ensure required travel forms are completed before trips
  • Coordinate staff meetings, trainings, and other internal meetings
  • Maintain digital files and organizational records
  • Provide administrative support to the People & Culture team and other departments as needed
  • Assist with other operations and administrative projects as assigned
