We are currently in search of an Administrative Officer for an International Humanitarian Nonprofit. The position is On-site in New York, NY. This is a full-time, direct-hire position.

 

ORGANIZATION TYPE: International Humanitarian Nonprofit

LOCATION: New York, NY (Midtown Manhattan)

POSITION TITLE: Administrative Officer

SCHEDULE: Full-time, 40 hours/week, Fully onsite, 9am to 5pm (sometimes may need to operate outside of these hours)

DURATION: Permanent Direct-Hire

SALARY: $55,000 to $65,000

BENEFITS: 10 days PTO + Sick Leave, Paid Federal Holidays; No Medical, Dental, Vision or 401k provided

The Administrative Officer will provide vital support to the operations and program teams of an international non-profit organization, which is dedicated to advancing rehabilitation services and promoting disability inclusion globally. This role requires strong organizational, communication, and coordination skills, with a sensitivity to disability rights and inclusive practices. The Administrative Officer will help ensure that programs run smoothly and effectively, contributing to the mission of creating a more accessible and inclusive world. 

 

Our Ideal Candidate:

·       5+ years of experience in complex administrative or project support roles required

·       Prior office management experience required

·       Rudimentary bookkeeping ability required

·       Comfortable working with/preparing line-item budgets required

·       Experience working autonomously without much direction is a major plus

·       Prior experience working in an international/humanitarian/NGO capacity is a plus

·       Open-minded and tolerant of other cultures/personalities required

·       Speaking two or more languages (English+): French, Spanish, Arabic, etc. is a plus but not a requirement

 

How You Will Spend Your Day:

·       Provide day-to-day administrative support to leadership and technical teams working in rehabilitation and disability inclusion.

·       Create and manage partnerships with other NGOs to share office space with.

·       Organize and coordinate meetings, trainings, and events – both virtual and in-person-ensuring accessibility for all participants.

·       Maintain organized records and filing systems, including reports, agreements, and project documents, according to the system set up by the Secretary General. Distribute governance documents in a timely way after regularly scheduled meetings of the Executive Committee (EC) and Governing Assembly (GA).

·       Maintain the organizational archives according to content defined by Officers & GA.

·       Serve as the first point of contact for member organizations, commissions, vice presidents, and the public contacting the organization using various means.

·       Assist with member/donor communications, including appeal and thank you letters. Recognition of volunteer effort is critical to the organization’s success.

·       Perform basic bookkeeping tasks, which may include bill paying, issuance and mailing of checks, making bank deposits, invoicing for annual memberships, compiling monthly/quarterly financial profit & loss reports, and assisting with the annual audit entailing work with the accountant, SG, and the Treasurer.

·       Assist the Secretary General in the submission of the compliance documents in accordance with the administrative requirements of the organization’s tax exemption, City of New York, and the annual requirements of the State of New York and the U.S. Government pertaining to charitable organizations. While compilation of the audit and tax reports is completed by the accountant and audit firms, office-based coordination of electronic signatures is needed. 

·       Purchase of office supplies and maintenance of an organized and stocked storage facility.

·       Take on additional tasks as directed by the SG, Treasurer, and President.

·       The position requires attending 5 to 10 UN meetings or events in the year.

·       The position requires making at least one or two trips abroad per year for organization meetings.
