We are currently in search of a Recruiting Coordinator for Community Access, a Housing and Social Services nonprofit, located in New York City (Lower Manhattan). This is a Full-Time, In-Office/Hybrid, Direct-Hire position. Of note, after an introductory period of 30 days, the schedule will be 3 days in-office, 2 days remote.

SCHEDULE: Fully In-Office (for the first 30 days), then Hybrid (3 days in office, 2 days remote)

SALARY: $70,000 - 75,000/yr. DOE with excellent benefits

The Recruiting Coordinator provides professional support to ensure that the CA recruitment process follows best practices in recruitment and selection and maintains applicable compliance with all related State and Federal Laws, regulations and policies. This position supports agency-wide recruitment by assisting hiring managers with postings, interview scheduling, background checks, vacancy reports, applicant screening, internal recruitment events, and recruitment materials. The RC also supports onboarding by assisting with the facilitation of New Hire Orientation and related activities.

  • Bachelor’s degree in Human Resources or related area, preferred
  • One (1) to three (3) years of working in recruitment and/or human resources experience
  • Demonstrated ability to prioritize and meet deadlines
  • Project management experience, preferred
  • Demonstrated ability to research, analyze data, and prepare reports
  • Exceptional phone and in-person presentation skills, excellent written communication skills
  • Ability to build and maintain collaborative relationships with all levels of staff
  • Be creative and flexible
  • Strong computer skills – intermediate or expert level MS Office user, etc.
  • Show initiative and be responsible for follow-through
  • Ability to maintain confidential information, as related to position
  • Ability to work independently and as part of a team

 

 How You Will Spend Your Day:


Key Performance Indicators


  • Post approved open positions internally and externally within established recruitment timelines and ensure all postings are accurate, complete, and current
  • Respond to recruitment-related requests from hiring managers, department leaders, candidates, and HR team members within one to two business days
  • Assist with coordination of Hiring Committee interviews, candidate communication, and interview logistics in a timely, organized, and professional manner
  • Maintain accurate and up-to-date recruitment and vacancy tracking reports, including applicant status, interview activity, recruitment event follow-up, and hiring progress
  • Initiate, monitor, and follow up on background checks, fingerprinting, and other pre-employment requirements to support timely clearance and onboarding
  • Identify, coordinate, and participate in internal and external recruitment events that support agency staffing needs, and track event outcomes such as candidate contacts, applications, referrals, or follow-up items
  • Timely completion of assigned projects, including the development of project plans detailing goals, collaborators, and other relevant components, in accordance with established deadlines


Essential Job Functions


  • Provide professional recruitment support to hiring managers and department leaders, ensuring CA’s recruitment and selection process follows best practices and complies with applicable state and federal laws, regulations, and policies
  • Manage the full recruitment process from approved vacancy through candidate selection, pre-employment clearance, and transition to onboarding
  • Provide guidance to hiring managers on recruitment timelines, interview coordination, candidate review, selection process steps, and documentation requirements
  • Draft, post, and maintain approved open positions internally and externally, ensuring postings are accurate, current, and aligned with recruitment needs
  • Develop recruitment materials, identify sourcing channels, and promote open positions to diverse candidate pools in support of outreach and employer branding
  • Plan, coordinate, and participate in internal and external recruitment events, including job fairs and outreach activities that support agency staffing needs
  • As requested, assist with screening of applications for minimum qualifications, maintain candidate pipelines, and advance qualified candidates to hiring managers in a timely manner
  • As requested, coordinate Hiring Committee interviews, candidate communication, and related logistics in a timely, organized, and professional manner
  • Coordinate offer-related steps, including salary approval, offer letters, candidate communication, and start-date confirmation with department and HR leadership
  • Administer the full background check process, including initiating, monitoring, following up on, and documenting required pre-employment clearances in all relevant systems
  • Oversee and serve as co-facilitator for new hire orientation, including scheduling, paperwork processing, fingerprinting, and coordination of required onboarding activities
  • Coordinate authorization and log-ins for new hires and terminations with the IT Department
  • Maintain the applicant tracking system and recruitment records to ensure accurate applicant status, documentation, reporting, and compliance
  • Ensure recruitment documentation, candidate dispositioning, and hiring records support fair, consistent, and compliant hiring practices
  • Prepare regular recruitment and onboarding reports to track vacancies, candidate pipelines, time-to-fill, hiring progress, outstanding tasks, and recruitment barriers
  • Enter and maintain human resources data in relevant internal and external databases, including new hires, terminations, status changes, and leaves of absence
  • Maintain complete, organized, and compliant recruitment, onboarding, and HR files in accordance with department standards and applicable requirements
  • Serve as a back-up in other areas of HR, as necessary
  • Participate in HR special projects as necessary
  • Attend and participate in supervision, meetings, and training sessions, as required
  • Perform other duties as assigned
