We are currently in search of a Membership and Annual Fund Coordinator for a Museum located in Chicago, IL. This is a Full-Time (40 hrs./wk.), Hybrid, Temporary (~through February 2026) assignment. Of note, there is the potential that this role could become a temporary-to-permanent role.

LOCATION: Chicago, IL (Near North Side area)

POSITION TITLE: Membership and Annual Fund Coordinator

SCHEDULE: M-F, 9 AM-5 PM; Full Time (40 hrs./wk.)/ Hybrid (1-2 days remote depending on ongoing events and activities)

DURATION: Temporary (but could potentially become a temporary-to-permanent opportunity)

PAY RATE: $25-27/hr. DOE

 

Is This Your Dream Job? The Membership and Annual Fund Coordinator oversees the museum's annual fund direct mail campaign and basic and premier member programs. They will also develop internal membership marketing strategies to ensure the continued health and success of the membership and annual fund program in order to achieve institutional goals.


Our Ideal Candidate:


  • 2+ years of experience in a development or membership office with a general understanding of membership best practices
  • Strong organizational and follow-through skills with attention to detail
  • Working knowledge of Excel, Microsoft Word, and other Office software
  • Strong written and verbal communication skills
  • Ability to thrive in an open and team-oriented environment
  • Ability to quickly take on new projects and assignments without compromising the quality of routine work, while balancing long-term projects
  • Ability to perform occasional light lifting.
  • General mobility throughout the museum


How You Will Spend Your Day:


  • In conjunction with the Associate Director of Individual Giving, Annual Fund, and Membership (ADIGAFM), support annual membership and annual fund revenue goals
  • Coordinate all member communications, routine membership fulfillment, and retention activities, including working with mail vendors to send card fulfillment mailings and monthly membership renewals
  • Serve as the primary point of contact for members, including fielding calls and e-mails; responding to member service requests; and performing data entry
  • Coordinate member exhibition preview events and member double discount days with Events Experience and Retail Experience
  • Coordinate the development, design, and production of membership collateral; track membership collateral inventory and mail vendor operations/logistics
  • Support membership acquisition mailing(s) by organizing planning, design, list segmentation, print and mail fulfillment, and working with partner teams, departments, consultants, and vendors
  • Coordinate Annual Fund strategy and appeal mailings; prepare letter copy and coordinate messaging cross-departmentally and with print and mail vendor
  • Serve as primary liaison to Audience Experience; actively participate in Audience Experience and membership cross-departmental meetings; collaborate on promotions, revenue, and program strategy
  • In conjunction with the Individual Giving and Major Gifts team, actively work to identify and pipeline members to higher levels of museum support
  • Serve as the museum's representative to the Chicago Cultural Cooperative
  • Process and track vendor expenses and invoices for membership budget
  • Perform other duties as assigned by the ADIGAFM
