We are currently in search of an Administrative Specialist for a Human Rights Nonprofit Organization. This is a part-time, fully remote position supporting the organization’s day-to-day administrative and operational needs. The ideal candidate is highly organized, detail-oriented, resourceful, and comfortable coordinating multiple processes, maintaining records, following up with internal teams and external partners, and keeping projects moving through completion.

POSITION TITLE: Administrative Specialist

SCHEDULE: Part-time, approximately 30–32 hours/week. Monday - Wednesday initially, with the possibility of adding Thursday. Flexible scheduling is available as long as 8 hours are completed per day when scheduled. Must be available during East Coast core hours of 10:00am - 2:00pm for meetings.

DURATION: Temp - Perm

HOURLY RATE: $24.00 - $27.00

This role is ideal for an experienced administrative or operations professional who enjoys creating structure, tracking details, and making sure processes move from start to finish. The Administrative Specialist will support organizational operations by maintaining trackers and deadlines, coordinating registrations and renewals, managing vendor and consultant documentation, supporting technology and digital security processes, maintaining organizational records, and coordinating administrative logistics. The ideal candidate is someone who takes initiative, follows through on outstanding tasks, and knows when an issue needs to be escalated.

Our Ideal Candidate:

  • 3+ years of experience in administration, operations, project coordination, nonprofit administration, or a related role
  • Strong organizational, project-tracking, communication, and time-management skills
  • Experience managing detailed, multi-step processes and recurring deadlines
  • Strong follow-through with the ability to independently identify outstanding tasks and follow up
  • Detail-oriented and comfortable handling confidential and sensitive information
  • Comfortable working independently while knowing when to ask questions or escalate an issue
  • Experience working in a nonprofit, advocacy, mission-driven, or distributed organization preferred
  • Familiarity with Google Workspace, Microsoft Office, Excel/Google Sheets, Box, project-tracking systems, and other administrative technology preferred

How You Will Spend Your Day:

  • Coordinate recurring administrative and operational processes and maintain centralized trackers, calendars, and workplans
  • Track organizational deadlines, renewals, registrations, requirements, and other recurring commitments
  • Follow up with staff, vendors, consultants, and external partners to ensure outstanding tasks are completed on time
  • Support operational projects by maintaining project plans, tracking action items, and coordinating follow-up
  • Maintain vendor and consultant records, including contracts, renewal dates, contact information, and supporting documentation
  • Track contracts through established review, approval, and signature processes
  • Coordinate charitable and business registrations, renewals, required filings, and related documentation with internal teams and outside consultants
  • Maintain records related to organizational insurance policies, certificates, renewals, and broker information
  • Maintain administrative records for organizational platforms, technology systems, licenses, equipment, and system access
  • Coordinate approved technology requests with IT consultants and support equipment procurement, shipping, returns, replacements, and inventory
  • Support digital security processes, including maintaining incident documentation, access records, and organizational technology procedures
  • Maintain organizational policies, procedures, templates, forms, SOPs, and other administrative documentation
  • Support file organization, archiving, records retention, and knowledge management
  • Coordinate administrative support for audits, assessments, reviews, and other documentation-heavy projects
  • Gather requested documents, maintain tracking lists, and follow up with staff regarding outstanding materials
  • Monitor designated administrative inboxes and organizational voicemail and route requests to the appropriate team members
  • Coordinate travel-related administrative requirements, forms, documentation, and digital security requirements
  • Support organizational shipping, equipment, supplies, office logistics, and other remote-workforce needs
  • Provide administrative and logistical support for meetings, leadership gatherings, and organizational activities
  • Assist with other administrative and operational projects as assigned
  • Escalate compliance, technology, operational, or other issues when additional guidance or decision-making is required
