We are currently in search of a Travel Administration Specialist for a Global Medical Nonprofit. The position is remote. This is a full-time, temporary position.

POSITION TITLE: Travel Administration Specialist
SCHEDULE: 37.5 hours/week
DURATION: Temporary (6 months or less)
HOURLY RATE: $28.00 - $31.00
Is This Your Dream Job? The Specialist, Travel Administration will coordinate and administer approximately 750 trips each year in support of the organization’s global programs, meetings, and offices. Reporting to the Senior Travel Manager, this position will help ensure travel is cost-effective, compliant with organizational policies, and aligned with Duty of Care standards.
We are looking for a highly organized and service-oriented travel professional who can manage a high volume of details, collaborate across cultures and time zones, and respond calmly to last-minute complications.
Our Ideal Candidate:
· 5+ years of experience coordinating travel required
· International travel administration experience required
· Highly organized with exceptional attention to detail
· Strong communication and interpersonal skills
· Demonstrated ability to work with numbers and across time zones
· Proficient with MS Office Suite and AI tools like Copilot or Claude
· Multilingual preferred
How You Will Spend Your Day:
· Coordinate approximately 750 annual trips for global programs, meetings, and group travel, including air and rail arrangements, lodging, ground transportation, venues, and travel calendars
· Partner with the Travel Management Company and internal teams worldwide to resolve travel needs, monitor service quality, and respond to last-minute complications
· Review bookings, traveler profiles, coding, tracking, and supporting documentation for accuracy, cost-effectiveness, policy compliance, and Duty of Care requirements
· Research visa, transit, health, and immunization requirements while supporting traveler onboarding, profiles, system access, and mileage benefits
· Maintain accurate travel records and produce reporting on spending, compliance, and cost trends for planning and audit purposes
· Support travel-policy updates, process improvements, monthly expense reconciliation, check requests, wire transfers, and other travel-team administration
