We are currently in search of a for a Women’s Empowerment Nonprofit. The position is in-person in New York, NY (Lower Manhattan). This is a full-time, temp position.

SCHEDULE: Full-time, 35 hours/week, In Person, 8:30 to 4:30, (Mon- Tues in office, Wed – Fri: Remote) can be flexible
DURATION: Temporary (4 months)
HOURLY RATE: $20.00 - $25.00
Is This Your Dream Job? The Administrative Assistant oversees all aspects of daily operations and maintenance in the NYC office, ensuring a seamless, well-stocked, and welcoming environment for employees, partners, and visitors. This role provides direct administrative support and calendar management for the COO and CDO with occasional assistance to the VP of Marketing & Communications, while proactively identifying and implementing process improvements. Acting as the primary onsite liaison for building services, IT, and external vendors, the Administrative assistant keeps common areas organized, supplies replenished, and logistical details handled with discretion.
Our Ideal Candidate:
- 3+ years in a similar administrative role is required
- exposure to or experience with to non-profit organizations is a plus.
- Proficiency in Microsoft Office Suite, familiarity with database platforms, and the ability to leverage digital tools to streamline workflows and produce accurate, actionable results required.
- Ability to build and nurture relationships and interact with stakeholders at various levels is required
- Ability to travel periodically to meet with Affiliates, donors, funders and attend organization’s events is required.
- Occasional evening and weekend work required.
How You Will Spend Your Day:
- Managing day-to-day office operations, serving as the primary point of contact for building management, vendors, and office service providers.
- Coordinating office maintenance requests, visitor access, guest registrations, and communications regarding building updates and emergency drills.
- Ordering office and kitchen supplies to ensure the workspace remains organized, well-stocked, and functional.
- Supporting executive scheduling for senior leadership, including managing calendars, coordinating internal and external meetings, and arranging logistics.
- Preparing meeting agendas, pre-read materials, calendar invitations, and follow-up communications for leadership meetings, webinars, and affiliate engagements.
- Monitoring conference room schedules and assisting with meeting space coordination across the organization.
- Processing expense reports, uploading receipts, reviewing coding, and facilitating reimbursement requests through expense management systems.
- Reviewing and routing office-related invoices for approval while maintaining accurate records and documentation.
- Assisting with organizational communications, document preparation, and administrative coordination for leadership and National Council initiatives.
- Maintaining accurate records in Salesforce and other organizational systems, including occasional donor meeting tracking and data entry.
- Coordinating shipping, mailing, and other administrative logistics, including FedEx packages and consultant reimbursements.
- Supporting special projects and cross-functional initiatives while providing high-level administrative support to executive leadership
