Are you a nonprofit professional with 3+ years of experience in providing executive administrative support and project management?

We are currently searching for an Executive Assistant for an Environmental Organization. This is a Fully Remote, Part Time (~30 hrs./wk.), Temporary (~through July 2025) position.

POSITION TITLE: Executive Assistant

SCHEDULE: Monday-Friday (flexible); ~30 hrs./wk.

DURATION; Temporary (~through July 2025)

PAY RATE: $32-35/hr.

 

Is This Your Dream Job? The Executive Assistant will provide administrative support to the Executive Director, including travel and meeting logistics, calendar and task management, expense reports, and other duties as assigned, such as drafting email correspondence, creating doodle polls, updating records in Airtable, ordering swag, etc. 


Our Ideal Candidate:


  • At least 3-5 years of experience as an Executive Assistant supporting executive team or C-suite individuals
  • An associate's or bachelor’s degree is preferred
  • Experience with online conference tools, such as Zoom, Teams, WebEx, etc., and comfort with using AV meeting technology (e.g., projector)
  • Experience creating and submitting expense reports in AP software, such as Airbase, Concur, etc.
  • Preferred experience working with Airtable or Smartsheet
  • Preferred ability to travel overnight one to two times during employment term, but not required


 How You Will Spend Your Day:


  • Developing and maintaining a system for managing the Director’s calendar to help prioritize projects
  • Plan for upcoming deadlines, and schedule remote and in-person meetings with staff, external partners, donors, and consultants
  • Processing all expense reports on behalf of the Director and may also approve expenses of direct reports if/when appropriate
  • Training in our AP system, Airbase, will be required.
  • Booking frequent travel on behalf of the Director, including lodging, airfare, meeting registration, etc.
  • Have the ability to quickly learn new software
  • Have experience setting up new systems/processes, and be able to anticipate needs before they arise
  • Bonus if they are mission-driven and have an interest in climate change mitigation, environment, and/or agriculture
