We are currently in search of a Finance and Administrative Associate for an Academic Medical Center and Research Institution headquartered in New York City. This is a Full Time (40 hrs./wk.), Fully In-Person, Temporary assignment.

SCHEDULE: Full Time (40 hrs./wk.)

DURATION: Temporary (ongoing)

HOURLY PAY: $25-28/hr. DOE

 

Is This Your Dream Job? The Finance and Administrative Associate will be focused on managing the financial data, processes, systems, and reporting while collaborating across teams to support the organization's philanthropic goals.

 

Our Ideal Candidate:


  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field
  • 1–3 years of experience in finance, budgeting, accounting, or a related role; internships or entry-level positions in financial operations are welcome
  • Proficiency in financial software and MS Office Suite; experience with Raiser’s Edge NXT, Workday, or similar systems highly preferred
  • Strong analytical and organizational skills with keen attention to detail
  • Initiative-taking and eager to learn, with a demonstrated ability to work both independently and collaboratively
  • Excellent communication skills, with the ability to convey complex financial information clearly

 

How You Will Spend Your Day:

 

Financial Operations

  • Oversee day-to-day financial processes and ensure accurate financial data integration across systems such as Raiser’s Edge NXT, Workday, Strata, and Cognos/TM1
  • Manage accounts payable and receivable processes to ensure accurate and timely processing
  • Track and maintain compliance with financial policies and internal controls


Budgeting and Analysis

  • Collaborate on the department’s annual budgeting process, assisting with the preparation, review, and monitoring of financial plans
  • Track budget progress, analyze variances, and recommend adjustments throughout the fiscal year. Provide reports to budget managers
  • Support financial forecasting to inform strategic decisions


Reporting and Reconciliation

  • Generate and analyze financial reports for internal and external audiences
  • Conduct monthly reconciliations with the Finance Department to ensure accurate record-keeping and proper fund allocation
  • Serve as the point person for the department’s annual audit and financial reporting, ensuring compliance and assisting with external reviews


Operational Support and Training

  • Provide training and guidance to team members on financial systems and processes to build departmental knowledge and efficiency
  • Assist with vendor management, technology requisition, and document retention to optimize operational workflows


Office Administration

  • Develop and maintain onboarding materials, providing hiring managers with support throughout the onboarding process
  • Manage department-wide and conference room calendars, coordinate meeting logistics, and prepare agendas and presentations for department-wide meetings
  • Oversee office supply inventory and organization, including maintaining the department’s file and supply room
  • Maintain Development Department records in Dimensions and oversee the department-wide vacation calendar
  • Serve as the primary liaison with internal departments to resolve operational issues related to technology, facilities, security, engineering, housekeeping, and real estate
  • Participate in the department’s phone coverage and hospital delivery rotation
