Position Overview

Our client, a well-established agriculture company, is seeking a Materials Specialist to support daily inventory operations, purchasing activities, and material coordination across the organization. This role will work closely with production, warehouse, and administrative teams to ensure accurate inventory control, timely purchasing, and proper documentation within QuickBooks and other internal systems.

The ideal candidate is bilingual (English/Spanish), highly organized, detail-oriented, and experienced in managing materials in a fast-paced agricultural or manufacturing environment.

Key Responsibilities

Inventory Management

  • Maintain accurate, real-time inventory levels for raw materials, supplies, and finished goods.
  • Conduct routine cycle counts and reconcile discrepancies.
  • Track incoming and outgoing materials to ensure proper documentation and storage.

Purchasing & PO Processing

  • Create, process, and track purchase orders for materials, supplies, and services.
  • Work with vendors to confirm orders, lead times, pricing, and delivery schedules.
  • Assist with sourcing new suppliers when needed to support cost and efficiency goals.
  • Verify invoices against purchase orders and receipts for accuracy.

System & Documentation Management

  • Enter and maintain all material-related data in QuickBooks and internal systems.
  • Generate inventory and purchasing reports for management.
  • Maintain organized digital and physical records of POs, delivery receipts, vendor documents, and inventory logs.

Cross-Department Support

  • Collaborate with production, warehouse, and maintenance teams to identify material needs and ensure timely supply flow.
  • Coordinate with supervisors to resolve material shortages or delays.
  • Support the administrative and accounting teams with documentation and inventory-related tasks.

General Responsibilities

  • Uphold company policies, safety procedures, and inventory controls.
  • Assist with continuous improvement initiatives to enhance material flow and inventory accuracy.
  • Perform additional duties as assigned.

Qualifications

Required

  • Bilingual (English/Spanish) – verbal and written.
  • 2+ years of experience in materials, inventory, purchasing, or related roles.
  • Proficiency in QuickBooks for purchasing and inventory functions.
  • Strong organizational skills with excellent attention to detail.
  • Ability to communicate effectively across multiple departments.
  • Proficient in Microsoft Excel, Word, and general computer systems.

Preferred

  • Experience in agriculture, food production, or manufacturing.
  • Knowledge of inventory management best practices.
  • Experience interacting with vendors and coordinating supply timelines.
