About the Job: The Payroll Specialist will manage the full-cycle payroll process for employees across multiple states, ensuring accurate, timely, and compliant payroll administration. This role will also support benefit deductions, maintain employee records, assist with audits, and provide exceptional service to employees with payroll-related inquiries. You’ll work closely with HR and Finance teams, manage system processes (Paylocity or similar payroll platforms), and play a key role in ensuring compliance with union contracts and employment regulations.
Key Responsibilities:
- Process and manage payrolls, including timekeeping, reconciliations, deductions, new hires, terminations, and benefit updates.
- Maintain employee records in the payroll system and ensure accuracy, confidentiality, and compliance with federal and state regulations.
- Administer benefit plan deductions (health, retirement, disability, and voluntary benefits).
- Conduct regular audits of payroll and system reports to ensure data integrity.
- Partner with HR and Finance on compliance, policies, and year-end reporting.
- Serve as the point of contact for payroll-related audits and reporting.
- Respond to employee inquiries and resolve payroll issues with professionalism and calm communication.
- Identify and recommend process improvements to enhance efficiency and accuracy.
Minimum Requirements:
- 3–5 years of payroll processing experience (multi-state payroll strongly preferred).
- Experience with unions and collective bargaining agreements highly preferred.
- Proficiency with payroll systems (Paylocity, ADP, Paychex, or similar).
- Knowledge of payroll regulations, wage and hour laws, and compliance requirements.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Clear, professional communication style and ability to remain calm under pressure.
Preferred Qualifications:
- Bachelor’s degree in HR, Accounting, or related field.
- Certified Payroll Professional (CPP) credential.
- Experience supporting both payroll and benefits administration.
Salary: $65,000 – $75,000
