Position Overview
We are seeking a polished, highly organized Executive Receptionist / Senior Administrative Coordinator to support a secure executive floor within a large corporate office environment. This individual will serve as the primary point of contact for executives, assistants, employees, visitors, and vendors while ensuring the smooth operation of the 49th floor.
The ideal candidate will have at least 8–10 years of receptionist or administrative experience, including a minimum of 8 years supporting executives or C-suite leaders. Experience in the oil and gas industry and a strong understanding of corporate office operations are preferred.
Responsibilities
• Manage conference room reservations and coordinate daily floor activities.
• Control access to the secured 49th floor and operate the visitor management system.
• Follow all enhanced security protocols applicable to the 49th floor.
• Maintain executive areas, including conference rooms, refrigerators, and shared spaces.
• Manage mailings and submit floor maintenance requests.
• Maintain and update the 49th-floor seating plan and floor plan.
• Manage the 49th-floor distribution list.
• Provide administrative and reception coverage for floor assistants as needed, with priority given to relief coverage for the Upstream President and DM&C President desks.
• Support high-level meetings and events, including catering coordination and room preparation.
• Coordinate with catering, maintenance, and other vendors for events, repairs, and services.
• Provide basic troubleshooting for conference room audiovisual equipment.
• Assist with emergency preparedness activities, building safety procedures, drills, and incidents.
• Perform other administrative and floor-support duties as assigned.
Required Qualifications and Skills
• Minimum of 8–10 years of receptionist, executive assistant, or administrative experience.
• At least 8 years of executive-level administrative support experience.
• Previous experience supporting C-suite executives in a large corporate environment.
• Oil and gas industry experience preferred.
• Strong organizational, prioritization, and multitasking abilities.
• Excellent verbal and written communication skills.
• Proficiency with Microsoft Office Suite.
• Experience using visitor management systems.
• Ability to maintain confidentiality and handle sensitive information.
• Professional demeanor, polished appearance, and strong executive presence.
• Ability to work independently while supporting multiple executives and administrative teams.
• Willingness and ability to work on-site five days per week.
• Experience with Microsoft Copilot or other AI productivity tools, or the ability and willingness to learn and apply them effectively.

The hiring rate for this position is $27.50 TO $30.69/HR per hour. The base pay actually offered will take into account internal equity, and may also vary depending on candidate's geographic region, job-related knowledge, skills, and experience amongst other factors.
