Payroll Manager

The Payroll Manager is responsible for overseeing all aspects of payroll operations across North America, including systems, processes, and vendor management. This role ensures timely, accurate, and compliant payroll processing while continuously improving efficiency and delivering exceptional employee support. The position will also provide support for international payrolls and new country implementations.

Key Responsibilities

Payroll Processing – 45%

  • Manage all U.S. and Canadian bi-weekly payrolls for both salaried and hourly employees, including off-cycle runs.
  • Handle payroll changes, manual adjustments, bonuses, and wage garnishments.
  • Interpret and apply pay policies (e.g., PTO, leave of absence, disability, workers’ compensation) to ensure compliance with federal, state, and local laws.
  • Serve as back-up for international payroll and assist with country-specific implementations.

Policies, Controls & Compliance – 15%

  • Develop and maintain payroll policies and procedures in line with internal controls and regulatory standards.
  • Implement best practices and process improvements to enhance compliance and efficiency.

Reporting & Year-End – 15%

  • Prepare and reconcile payroll reports (weekly, monthly, quarterly, and annual).
  • Oversee U.S. and Canadian year-end filings, including W-2s and T4s.
  • Conduct audits to identify and resolve potential payroll or reporting issues.

Employee Support – 10%

  • Serve as the primary point of contact for payroll-related inquiries.
  • Research and resolve payroll issues promptly and professionally.

Audit & Collaboration – 10%

  • Partner with internal and external auditors to document controls and support audits as needed.

Additional Duties – 5%

  • Run monthly payrolls for Colombia and Mexico, ensuring compliance with local requirements.
  • Perform other payroll and HR-related duties as assigned.

Qualifications

Education:

  • Bachelor’s degree in Accounting, Finance, or Business Administration (or equivalent experience).
  • Payroll certification (e.g., CPP) preferred.

Experience:

  • 5–8 years of payroll experience, including salaried and hourly populations.
  • Strong knowledge of multi-state payroll, wage and tax laws, and FLSA requirements.
  • Experience with Ceridian Dayforce preferred.
  • International payroll exposure (especially Colombia and Mexico) a plus.
  • Proven experience registering with new tax authorities.

Skills & Competencies:

  • Deep understanding of earnings/deduction codes, tax categories, and year-end processes.
  • Strong reconciliation, analytical, and Excel skills.
  • Excellent customer service, confidentiality, and communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
  • Strong interpersonal skills and confidence interacting with all organizational levels.
