We are seeking a Client Service Coordinator to join an institutional investment management team. This position is responsible for serving as a service resource for the firm's clients, focusing on client service excellence and continuity.
Core Role Responsibilities
- Provide support and work closely with advisors in onboarding and management of client relationships
- Manage client relationships proactively; follow-up with clients; maintain complete records and files
- Research and resolve moderate to highly complex account issues
- Prepare client meeting presentation materials
- Prepare sales and marketing presentations and assist with RFP responses
- Primary contact for general office duties, such as handling of mail, office vendors, ordering supplies, building management inquiries, etc
- Maintain CRM system(HubSpot)
- Assist with social media postings
- Provide support to executive leaders

- Demonstrate ability to onboard new clients, resolve client issues, account openings, and transfers
- Display out-of-the-box thinking for practical client service solutions
- Demonstrate effective time management of workload with the ability to prioritize tasks/projects
- Demonstrate strong administrative skills; handle all operation needs across advisor teams; provide recommendations for operation improvements
- Receive direction from leaders and exercise independent judgment while developing the knowledge to understand policies, procedures, and compliance requirements
- Collaborate and consult with peers, colleagues, and outside parties to resolve issues and achieve goals
- Demonstrate excellent written and verbal communication skills
- Comfortable and effective in a dynamic, flexible work environment requiring high degrees of accountability and self-motivation
Desired Qualifications
- Bachelors degree or 3+ year’s experience in a client service role in the industry
- Preferred industry-related experience, RIA/Broker experience-highly desired
- Working knowledge of financial investment concepts and practices
- Excellent customer service and customer retention skills
- Strong written and verbal communications skills, with customer focus
- Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
