The Position
Advanced Legal Planning is seeking a Front Office Administrator to take ownership of the day-to-day operations and client experience at the front of our firm.
You will be the first point of contact for many of our clients and will play an important role in creating a calm, professional, and compassionate experience from the moment someone calls or walks through our doors.
In this key role, you will oversee high-volume communications, optimize calendar management, deliver an exceptional client experience, serve as a primary liaison between clients and legal teams, and implement scalable administrative systems.
Responsibilities
- Manage high-volume communications, serving as the primary liaison across phone, email, and in-person channels with high empathy, timeliness, and professionalism.
- Coordinate attorney calendars, client appointments, virtual meetings, confirmations, and follow-ups with support tailored to diverse attorney and team working styles.
- Greet onsite clients and brief legal teams to ensure seamless, prepared meetings.
- Assist with client intake, conflict checks, retainer processing, document scanning, payments, and legal document prep.
- Maintain a clean, professional, and welcoming reception and conference area.
- Proactively optimize front-office workflows to increase efficiency, eliminate errors, and improve client experience.
Qualifications
- 5+ years of experience in administrative, client service, front-office, or office coordination roles, ideally in a fast-paced, high-volume environment.
- Exceptional communication and emotional intelligence, with a warm, polished presence and the ability to remain composed and empathetic in sensitive or high-pressure situations.
- Highly organized, resourceful, and proactive, with strong attention to detail, follow-through, sound judgment, and the ability to anticipate needs and solve problems.
- Quick to learn and technologically proficient, with the ability to retain complex information and processes, adapt to new systems, and handle confidential information with discretion.
Salary + Benefits
- $23-$27/hour DOE
- Paid monthly on the 3rd of each month
- Two weeks of paid time off beginning with employment
- Five sick days and two personal days, available for use after six months
- Office closed on major holidays
- Benefits begin following a 90-day probationary period, including health, dental, and 401(k)
