The Organization:

When a restaurant kitchen backs up at eleven in the morning, Biotech Solutions LLC is the first company many commercial kitchens call. Operating in the Denver metro area and the Front Range since 1991, Biotech serves more than 1,200 commercial kitchens, hospitals, schools, and properties. This team, comprised of eleven field technicians and a small office team, makes a real difference every day. The company changed hands in 2026, and the new owner is rebuilding the back office with updated field service software and technology, new processes, and a fractional CFO on the team.



The Position:

Biotech Solutions Inc. is seeking an experienced Finance and Operations Administrator to serve as the administrative backbone of our Littleton, CO office. In this essential role, you will oversee day-to-day financial workflows—including AP/AR, job costing, and tiered service invoicing—while supporting the operational mechanics of our commercial plumbing and bioremediation service teams. Operating in a high-volume, productive environment, you will ensure our internal financial controls and daily office logistics run as reliably as our field services.


Responsibilities:

Operations & Administration

  • Answering the main phone line while in the middle of a regular and routine task
  • Scheduling subcontractors and following through on their work



Finance & Accounting

  • Accounts receivable, invoicing and collections follow-up
  • Daily work in QuickBooks Online (bill pay and accounting) and BuildOps (our field service and invoicing platform)
  • Bi-weekly payroll in Paycor, including commission calculations
  • Check deposits, bank feed coding, and vendor payments
  • A standing working relationship with our fractional CFO on the monthly close and reporting


Making it better

  • Noticing and speaking up when you come across inefficient office procedures, operational workflows, and internal coordination
  • Move customers off paper checks and onto electronic payment
  • Put AI and the tools we already pay for to work on the repetitive parts of the job


Qualifications:

  • You stay steady on the phone with a stressed customer
  • Your strong communication extends to external emails and internal chat messaging
  • You have a system for maintaining several open tasks at once without dropping one
  • Your attention to detail shows up in entering bills and customer receipts accurately
  • You are coachable and are able to learn new systems and processes
  • You look at a manual or inefficient process and ask why we still do it that way


Helpful, but not required:

  • Two or more years in office administration, bookkeeping, or operations support
  • QuickBooks Online, Paycor, or a field service platform such as BuildOps or ServiceTitan
  • Experience in the trades, construction, or another field service business


Salary & Benefits:

  • Compensation: $23.00 to $30.00 per hour, based on experience, eligible for overtime if desired
  • Schedule: 32 to 40 hours per week (full-time), operating on-site in Littleton, between 7:30 AM to 4:00 PM (preferred, flexible for the right person)
  • Paid Time Off (PTO): Accrual starts at 10 days (80 hours) for 1–5 years of service, 15 days (120 hours) for 6–15 years, and 20 days (160 hours) for 16+ years
