The Organization:
Biotech Solutions LLC is a commercial plumbing company based in Littleton, Colorado. The company is a business-to-business service provider, servicing over 1,200 locations across the Denver metro area and Front Range, including restaurants, commercial kitchens, hospitals, schools, and commercial properties. In business since 1991, Biotech is the sole Colorado provider of BioNature, a proprietary grease elimination system (GES) product. Composed of a streamlined office team and eleven field service technicians, the company maintains a professional and supportive workplace focused on collaboration, work ethic, and serving clients with excellence.
The Position:
The Finance and Operations Administrator serves as a core operational partner in the office. Reporting to the Director of Operations with a dotted line to the CEO, this role features a 50/50 split between administrative support and financial operations. The schedule is 7:30 AM to 4:00 PM, on-site, 32 to 40 hours per week. For the right candidate, the position offers a clear career growth trajectory, with potential to evolve over two to three years into greater responsibilities within the company.
Responsibilities:
Operations & Administration (50%)
- Answer the main phone line and manage incoming customer service requests
- Provide a calm, reassurance-focused point of contact for clients facing urgent plumbing emergencies
- Schedule and oversee subcontractor schedules and workflows
- Manage shifting daily priorities by responding rapidly to unexpected emergency service calls and resuming core tasks efficiently
- Proactively identify opportunities to optimize office procedures, operational workflows, and internal communication
Finance & Accounting (50%)
- Manage Accounts Receivable (AR) and invoicing workflows to address key operational priorities
- Execute daily financial tasks within QuickBooks Online
- Leverage financial software and AI tools to streamline bookkeeping tasks and improve turnaround times
- Process bi-weekly payroll using Paycor and assist with commission calculations
- Process paper check deposits, assist with bank feed coding, and coordinate vendor payments
- Collaborate directly with the company's fractional CFO to support ongoing accounting routines and financial reporting
Qualifications:
- 2 to 3 years of experience in office administration, bookkeeping, or operations support preferred
- A proactive, self-directed working style with strong organizational capability
- Ability to work productively and manage priorities without requiring close supervision
- Exceptional attention to detail with a proven track record of managing multiple ongoing tasks and deadlines
- Strong aptitude for learning accounting tools and systems quickly
- Comfort working alongside a field-based service workforce within a fast-paced trades environment
- Strong verbal and written communication skills across phone and email

Compensation: $23.00 to $30.00 per hour, commensurate with experience

Schedule: 32 to 40 hours per week, operating on-site from 7:30 AM to 4:00 PM
