Overview:

Our client, a mid-sized full-service law firm headquartered in Midtown Manhattan, is seeking a tech-savvy, proactive, and business-minded Litigation Paralegal/Legal Assistant to support two senior partners whose practices focus on complex commercial litigation, arbitrations and international disputes. Prior experience supporting litigators in high-stakes matters – such as large-scale discovery, arbitrations, motion practice, and federal/state court filings – is essential.

 

The ideal candidate has 5+ years complex commercial litigation experience and combines advanced technical skills with strategic thinking and sound judgment. This is a brand-new position that will help grow and strengthen their commercial litigation team.

 

What You’ll Do:

  • Operational/Administrative Support: Support partners in complex commercial litigation matters and international disputes – such as large-scale discovery, arbitrations, motion practice, and federal/state court filings
  • Own the tech: Coordinate and troubleshoot virtual meetings (Zoom and other platforms), and streamline workflows using Microsoft Office, Adobe Acrobat, iManage, Orion and cloud-based systems
  • Document management: Manage and collaborate with legal teams and IT to improve and maintain internal document management systems to ensure consistent and accurate tracking of work product, client documents and court filings. Knowledge of electronic filing with the courts
  • Ensure billing excellence: Manage all aspects of the billing lifecycle—reviewing time entries to ensure accuracy/format, entering two senior partners’ time, preparing and finalizing invoices, and coordinating follow-up with clients and accounting
  • Proactive Management: Proactively manage complex calendars, travel logistics, and evolving priorities
  • Drive efficiency: Implement process improvements to enhance productivity, client service, and matter execution
  • Lead communication: Act as a trusted point of contact for clients and internal stakeholders, ensuring timely and professional follow-through
  • Master the details: Track assignments, deadlines, and deliverables with precision—even on matters that span months
  • Support practice growth: Assist with matter management, engagement letters, marketing initiatives, and custom reporting
  • Advanced document production skills: Create, edit and review litigation documents using the Microsoft Office Suite. Adept at Table of Contents and Table of Authorities.
  • Manage sensitive tasks: Handle confidential correspondence, court filings (state and federal), and relationship summaries with care and discretion
  • Bridge strategy and operations: Collaborate cross-functionally with Finance, IT, HR, and other departments to address evolving partner needs

 

What You Bring:

  • 5+ years of experience supporting senior litigation legal professionals in a fast-paced environment
  • Demonstrated technical acumen: advanced proficiency in MS Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and familiarity with legal tech systems (iManage experience preferred)
  • Strong understanding of commercial litigation law firm operations, including billing, compliance, and document management
  • Natural problem-solver who takes initiative, thinks ahead, and thrives under pressure
  • Exceptional organizational, time management, and multitasking skills
  • Professional, polished communication skills—both written and verbal
  • Notary Public license or willingness to obtain within three months
  • Commitment to confidentiality, judgment, and client service excellence

 

Work Environment:

This is a hybrid position based in New York, requiring on-site presence to support in-person collaboration and ensure seamless operations. The role will evolve based on the needs of the partners and the firm’s strategic priorities.
