SUMMARY:
Performs a variety of administrative duties for attorney(s) to whom assigned according to established policies and procedures. Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Demonstrates strong working knowledge and advanced proficiency with computer software applications, including Word, Outlook, iManage, Excel, PowerPoint, Adobe PDF, and other firm-specific programs.
- Prepares correspondence, memoranda, and other legal documents from written and oral drafts; drafts standard correspondence and other documents. Reviews, edits, redlines, applies style schemes, and proofreads documents as requested, including engagement letters, memoranda, audit letters, and other correspondence.
- Assists with routine corporate matters such as entity formations and preparation of organizational documents and agreements.
- Manages incoming mail and ensures timely delivery of outgoing mail; coordinates with delivery services as needed and follows up on status.
- Establishes and maintains attorney calendars and deadline reminder systems; utilizes the firm’s master calendar system.
- Opens new files, requests conflict checks, and maintains all client and general files. Conducts periodic reviews for storage and prepares files for closing.
- Greets clients and visitors, maintains professional client relations, and observes confidentiality of the attorney-client relationship.
- Coordinates meeting and conference room reservations using firm software.
- Assists with billing processes, including proofing and editing bills, processing bills for attorneys, and coordinating with accounting staff on month-end billing matters.
- Works closely with administrative support staff (word processing, reprographics, reception, etc.); ensures timely submission of attorney timesheets; proofs documents returned from word processing.
- Collaborates with other administrative staff as needed; provides coverage for colleagues during absences (e.g., other legal assistants, reception).
- Provides litigation support to the Litigation team when required.
- Prepares and submits attorney travel and business expense reports; handles vendor invoices and service payments as necessary.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- 5+ years of experience in a professional setting, law firm experience preferred, with knowledge of office policies and procedures and ability to produce accurate legal documents with minimal supervision.
- Advanced proficiency with Microsoft Office products.
- Strong motivation to support a busy Corporate practice group.
- Ability to transcribe legal documents, correspondence, and reports from draft or dictation at a minimum of 65 wpm.
- Strong organizational skills with ability to manage multiple priorities under deadlines.
- High attention to detail with ability to proofread documents for grammar, typographical, and spelling errors.
- Strong interpersonal skills to communicate effectively with clients, attorneys, and staff both verbally and in writing.
- Ability to work collaboratively in a fast-paced environment while maintaining professionalism and courtesy.
- Flexibility to work overtime or irregular hours as needed to meet deadlines.

- Normal law office environment with minimal exposure to excessive noise, dust, or temperature fluctuations.

SALARY RANGE (New York Applicants):
$85,000 – $105,000 annually, commensurate with experience.
