Our client is seeking a detail-oriented and proactive Office Manager to support our attorneys with both administrative and legal tasks. The ideal candidate will have 8+ years of experience in a law firm or legal department, with strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
This role combines oversight of the firm’s daily operations with hands-on support for legal staff, including case-related and administrative responsibilities. Success in this position requires exceptional attention to detail, excellent time management, and the ability to thrive in a dynamic legal setting.
Key Responsibilities
Office Management Duties:
- Oversee general office operations, including supplies, vendor relations, and facility maintenance.
- Manage scheduling, meetings, and internal communications across departments.
- Coordinate onboarding and training for new staff.
- Maintain firm-wide calendars and ensure deadlines are tracked and met.
- Liaise with IT, HR, and accounting to support firm operations.
Executive Legal Assistant Duties:
- Prepare, format, and proofread legal documents and correspondence.
- File legal documents with courts and administrative agencies.
- Maintain and organize case files, both physical and digital.
- Assist attorneys with time entry, billing, and expense tracking.
- Communicate with clients, courts, and opposing counsel professionally and promptly.
- Conduct basic legal research and compile case-related information as needed.
Qualifications
- Prior experience in a law firm or legal department required.
- Strong understanding of legal terminology and procedures.
- Proficiency in legal software (e.g., Clio, Document Management, Microsoft Office Suite).
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong multitasking and time management abilities.
- Experience managing office operations or administrative teams preferred.
Preferred Skills
- Paralegal experience is a plus.
- Experience in healthcare law is a plus.
- Familiarity with legal billing and coding practices.
