Our client, a well-regarded international law firm, is looking for an Legal Assistant to join their team.
Legal Assistant
Key Responsibilities and Qualifications
- Provide day-to-day support to Partners, Counsel, and Associates.
- Maintain calendars, schedule meetings, and coordinate conference calls (video/audio).
- Answer phones, relay messages, and manage contact databases.
- Coordinate domestic and international travel through the in-house travel department.
- Prepare and submit accurate expense reports in a timely manner.
- Draft, edit, format, and proofread legal documents, correspondence, and forms.
- Ensure accuracy and compliance with firm standards and deadlines.
- Prepare court filings and practice-specific documents, including audit responses and pleadings.
- Organize, maintain, and archive administrative and client files.
- Work closely with the Records Department to safeguard confidential information.
- Record and review attorney time entries using the firm's web-based system.
- Manage monthly billing cycles, edit proformas, and respond to billing inquiries.
- Process third-party vendor invoices and ensure alignment with client billing.
- Generate conflict checks, open new matters, and prepare engagement letters.
- Respond to client and internal requests in a timely, professional, and courteous manner.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong typing skills (minimum 60 wpm) with excellent grammar, spelling, and punctuation.
- Highly organized with strong attention to detail and the ability to manage multiple tasks and deadlines.
Professional Experience and Education
- Minimum 5 years of administrative experience, preferably in a law firm or professional services environment.
- Familiarity with legal terminology, procedures, and court filings preferred.
- College degree preferred.
