Our client, a well-regarded international law firm, is looking for an Legal Assistant to join their team.


Legal Assistant

Key Responsibilities and Qualifications

  • Provide day-to-day support to Partners, Counsel, and Associates.
  • Maintain calendars, schedule meetings, and coordinate conference calls (video/audio).
  • Answer phones, relay messages, and manage contact databases.
  • Coordinate domestic and international travel through the in-house travel department.
  • Prepare and submit accurate expense reports in a timely manner.
  • Draft, edit, format, and proofread legal documents, correspondence, and forms.
  • Ensure accuracy and compliance with firm standards and deadlines.
  • Prepare court filings and practice-specific documents, including audit responses and pleadings.
  • Organize, maintain, and archive administrative and client files.
  • Work closely with the Records Department to safeguard confidential information.
  • Record and review attorney time entries using the firm's web-based system.
  • Manage monthly billing cycles, edit proformas, and respond to billing inquiries.
  • Process third-party vendor invoices and ensure alignment with client billing.
  • Generate conflict checks, open new matters, and prepare engagement letters.
  • Respond to client and internal requests in a timely, professional, and courteous manner.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong typing skills (minimum 60 wpm) with excellent grammar, spelling, and punctuation.
  • Highly organized with strong attention to detail and the ability to manage multiple tasks and deadlines.


Professional Experience and Education

  • Minimum 5 years of administrative experience, preferably in a law firm or professional services environment.
  • Familiarity with legal terminology, procedures, and court filings preferred.
  • College degree preferred.
