Overview:
Our client, an esteemed international law firm, seeks an experienced Litigation Legal Secretary to provide high-level administrative and legal support to attorneys across various levels. This role involves a wide range of responsibilities from managing calendars and documents to facilitating billing, client communications, and business development efforts.
Key Responsibilities:
- Deliver administrative support: screen calls, manage emails, coordinate calendars, maintain records, and prepare expense reports.
- Draft and revise legal documents, engagement letters, and client/matter forms with precision and attention to detail.
- Handle document edits, redlines, PDF conversions, and quality checks.
- Coordinate client billing in partnership with accounting; track matters and billing activity.
- Manage attorney inboxes (with access), organize messages, and prioritize tasks.
- Arrange complex travel, including visa support, and process vendor payments.
- Support client service initiatives and business development efforts, including CRM data entry and list maintenance.
- Troubleshoot tech issues and liaise with IT as needed; ensure systems function smoothly.
- Oversee delegated tasks to internal departments and verify completion.
- Occasionally assist with attorneys’ personal administrative needs.
- Step in for general office tasks (printing, scanning, couriering) as necessary.
Skills & Qualifications:
- Proficient in MS Office Suite (Word, Outlook, Excel, PowerPoint); adaptable to new systems.
- Strong communication, multitasking, and organizational abilities.
- Keen attention to detail and ability to manage shifting priorities in a fast-paced setting.
- High degree of professionalism, discretion, and client service mindset.
- Ability to work independently and collaboratively.
- Physical capability for regular office tasks (e.g., sitting, lifting up to 10 lbs).
- Flexibility to adjust schedule based on workload demands.
Requirements:
- High school diploma or equivalent required.
- Minimum of 5 years’ administrative/legal support experience or equivalent.
