Legal Executive Assistant to provide high-level support to practice group leaders and other litigation partners. Under the supervision of the Senior Manager of Legal Support Services, the Legal Executive Assistant performs a wide range of executive level litigation and administrative tasks. This role requires professional communication skills, exceptional task execution skills, a command of complex calendar and workflow management, and the ability to operate with precision in a fast-paced, client-focused environment.
Key Responsibilities
- Maintains full ownership of administrative workflows, tracking task execution and deliverables across legal, billing, and client service functions.
- Collaborates with the marketing team and supports new business development initiatives by assisting with the preparation materials, coordinating client presentations, tracking prospective client outreach, and maintaining business development data.
- Manages attorney calendars, schedules internal and external meetings ensuring schedule integrity, coordinates complex travel arrangements, including itineraries, accommodations, conflict resolution, and expense reconciliation.
- Prepares materials and agendas for meetings, takes and distributes meeting minutes, and follows up on action items.
- Drives communication across departments including billing, business development, and management to ensure timely execution of responsibilities.
- Produces, formats, and finalizes legal documents with a high degree of accuracy and professionalism.
- Utilizes advanced task management tools, including AI-integrated systems, to optimize workflow, maintain visibility across pending actions, and ensure accountability.
- Maintains professional standards in all interactions, exercising sound judgment and discretion with confidential information.
Knowledge, Skills, and Abilities
- Proficiency in drafting legal documents and managing multiple priorities under deadlines.
- Strong editing and proofreading skills with attention to detail.
- Professional interpersonal communication skills; able to work with individuals at all levels.
- Ability to handle sensitive matters with discretion and sound judgment.
- Comfortable with technology tools, calendar management systems, and billing platforms.
- Willingness to support new attorney onboarding and provide practice area training.
Education and Experience Qualifications
- High school diploma or equivalent required; Paralegal Certificate, Bachelor’s degree, or business school course work is preferred.
- Minimum of 10 years of legal administrative experience required. Those with less experience are still encouraged to apply and could be considered for a Legal Administrative Assistant role.
- Experience in a leadership or executive administrative capacity is strongly preferred.
