Job Title: Legal Administrative Assistant

Location: Austin, TX 78746

Salary/Payrate: $70-75K and AWESOME benefits!!!

Work Environment:  Hybrid (2 days WFH AFTER 3 MONTH INITIAL TRAINING PERIOD OF 100% ONSITE)

Term: Permanent / Fulltime

The ideal candidate is a proactive and resourceful individual with strong organizational and communication skills, both written and verbal. Exceptional accuracy and attention to detail are imperative.

 


Essential Duties and Responsibilities

  • Time entry: Enter attorney time into billing system
  • Deadline Calendaring: Calendar and monitor case deadlines for attorneys
  • File management: Maintain and organize files in an orderly manner following the standard naming conventions when scanning and saving documents to the firm document management system
  • Coordinate schedules: Coordinate attorney calendars, meeting arrangements, and travel
  • Billing: Assist attorneys with finalizing pre-bill drafts
  • Expense reimbursement: Submit attorney expenses for reimbursement and reconcile attorney credit cards
  • Process new client/matter intake: Prepare new matter forms and open files
  • Prepare Documents: Prepare shell forms and assist with drafting pleadings, motions, briefs, or other legal documents or correspondence. Assist attorneys with converting files between formats (e.g., Word and PDF) and document comparisons.
  • Discovery: Prepare draft discovery requests and responses, prepare production for service (e.g., bates stamping), process incoming production, assist with deposition preparation and scheduling
  • Filing and Service: Finalize and proofread filings and coordinate in-person or electronic filing and/or service
  • Docketing and Submissions: Obtain hearing and trial settings and submit filings to non-hearing dockets
  • Hearing and Trial Support: Prepare materials for and assist with preparation for hearing and trials. Attend the hearing or trial, as needed
  • Communicate clearly, concisely, and professionally with attorneys, staff, opposing counsel, and court personnel
  • Exercise good judgment by making sound and practical decisions
  • Other duties and special projects, as assigned



POSITION QUALIFICATIONS (EDUCATION AND/OR EXPERIENCE AND SKILLS)

  • Preferred qualifications: College degree or equivalent combination of education and experience.
  • Experience: Minimum of 5 years, with a preference for litigation experience.
  • Software Proficiency: Demonstrate proficiency in MS Office (Outlook, Excel, and Word) and Adobe.
  • Professionalism: Exercise complete discretion and a high degree of professionalism
  • Process Adherence: Ability to follow processes and procedures.
  • Initiative: Ability to anticipate work needs, follow through with minimum direction, and proactively follow-up on own initiative.
