One of Blackmere’s clients is seeking a confidential, highly professional Executive Operations Coordinator to support high-level business leaders across time zones and functions. In this role, you'll be the organizational backbone, providing critical administrative, scheduling, and operational support to senior executives.
This role requires navigating complexity with grace, protecting sensitive information, and managing multiple moving parts with impeccable follow-through. You’ll play a vital role in driving clarity, structure, and confidence in a dynamic environment—always staying one step ahead.
What You’ll Be Doing

Master the calendar – Own complex scheduling and high-stakes logistics across departments, stakeholders, and time zones.

Lead operational coordination – Manage executive meetings, strategy sessions, and confidential conversations with polish and foresight.

Proactively anticipate needs – Recognize gaps, flag priorities, and act before the question is asked. You see the future and plan accordingly.

Own onboarding logistics for key hires – Coordinate behind-the-scenes work to ensure seamless transitions for strategic leadership roles.

Improve systems and operations – Identify inefficiencies and implement smarter workflows, tools, and documentation to create a more seamless experience.

Bring AI into the workflow – Use automation and AI-based tools to optimize repeatable tasks, streamline communication, and increase productivity.

Track and manage key deliverables – Monitor timelines, status updates, and cross-functional dependencies for executive-led initiatives.

Support high-level communications – Draft materials, build presentations, and facilitate information flow across sensitive workstreams.

Protect confidentiality – Handle sensitive business and personnel information with integrity and professionalism.
What You Bring
- 5+ years in a senior-level executive assistant, business operations, or executive coordination role
- Demonstrated ability to support and align with VP or C-suite executives
- A knack for anticipating needs and staying five steps ahead
- A systems-thinker’s mindset with a penchant for improving processes and creating structure
- Advanced Microsoft Office skills — Excel, Word, and PowerPoint mastery is essential
- Strong written and verbal communication with an executive-level polish
- Confidence operating independently and remotely while staying aligned with stakeholders
- A proactive, tech-forward approach with strong curiosity around AI and automation tools
- A high level of discretion, integrity, and professional maturity in handling sensitive material
