SETI Administrative Assistant
SETI is seeking a motivated, dependable and highly organized Executive Assistant to provide administrative support to the SETI organization, specifically the head of the department.
Primary Responsibilities:
-Maintain executives' calendar, schedule meetings, conference calls and coordination of meetings
-Manage a real estate footprint including but not limited to maintaining floorplans, managing team moves, placing tickets with building maintenance, etc.
-Provide overall assistance to the team
-Coordinate executive travel
-Answer executive phones
-Prepare and submit expense reports for the team
-Set-up and maintain mail groups
-Provide coverage to other assistants in department when needed
-Ad hoc duties as necessary to support team
Required Skills:
-Bachelor's degree
-3-5 years' experience working in an administrative assistant role
-Strong knowledge of Microsoft Outlook and administrative practices and procedures
-Strong interpersonal and organizational skills
-Ability to work independently with minimal supervision
-Ability to multi-task and adjust calendars based off escalation of issues that arise
-Interact with Business Heads and their assistants with scheduling or connecting urgent calls
-Ability to manage sensitive, complex, and confidential information
-Excellent communication and interpersonal skills
-Be authorized to work in the US without durational restrictions
-Successfully complete background checks and pre-employment assessments
