Property Admin – Leasing Specialist (Affordable Housing)

Position Overview
A mission-driven affordable housing organization is seeking a Property Admin – Leasing Specialist to support day-to-day operations with a balanced focus on administration, leasing, and compliance.
This role sits at the intersection of property administration and leasing execution, ensuring that applicant flow, resident files, and compliance documentation are handled accurately and efficiently. You will play a key role in maintaining audit-ready files, leasing pipelines, and operational organization.
Key Responsibilities
Leasing & Resident Intake
- Manage application intake, screening coordination, and file preparation
- Schedule and support income verification appointments
- Prepare and process lease agreements and move-in documentation
- Maintain and update property waitlists in compliance with program guidelines
- Assist with unit turnover coordination, vacancy tracking, and readiness
Property Administration & Operations
- Maintain organized resident and property files (physical and digital)
- Support daily office operations, scheduling, and documentation tracking
- Issue notices and assist with resident communication and correspondence
- Coordinate with maintenance on work orders, inspections, and unit readiness
- Track deadlines, follow-ups, and operational workflows
Compliance Support (LIHTC / Affordable Housing)
- Prepare and organize income certifications and recertifications
- Assist with TCAC, MOR, and regulatory reviews and file audits
- Ensure all documentation meets LIHTC, HUD, and agency compliance standards
- Maintain audit-ready files and reporting documentation
Financial & Reporting Support
- Assist with rent collection, deposits, and financial tracking
- Support security deposit processing and basic accounting logs
- Maintain accurate data entry in systems such as Yardi, Entrata, or similar
- Track and document petty cash and operational expenses
Qualifications
- 1–3+ years of experience in:
- Property management, leasing, or administrative support
- Strong leasing exposure (applications, move-ins, resident interaction)
- Experience with affordable housing programs (LIHTC, HUD, TCAC) preferred
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities in a deadline-driven environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with Yardi, Entrata, or similar systems preferred
