Project Coordinator – High Net Worth Family Office


Our client, a prestigious High Net Worth Family Office, is seeking a Project Coordinator to support their growing and impressive real estate portfolio. This individual will play a key role in coordinating construction and facilities projects while also handling essential administrative functions. The role requires a hands-on professional who can thrive in a fast-paced environment, effectively interact with all levels of the organization, and confidently manage relationships with external vendors.


Key Responsibilities

  • Support the Real Estate group and project managers in coordinating construction and property-related projects.
  • Provide administrative support, including scheduling, document management, and project tracking.
  • Assist with vendor communications, ensuring contracts, proposals, and invoices are managed in an organized and timely manner.
  • Coordinate project logistics and ensure all stakeholders are kept informed of timelines and deliverables.
  • Maintain project files, budgets, and reports, ensuring accuracy and accessibility.
  • Work closely with internal leadership and external vendors to ensure smooth project execution.
  • Provide general support for facilities and property-related needs as directed.


Qualifications

  • 3+ years of experience in project coordination, construction administration, or related roles (general construction highly preferred).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, with the ability to interact effectively at all levels of the organization and with external partners.
  • Detail-oriented with strong follow-through and problem-solving skills.
  • Tech-savvy, with proficiency in Microsoft Office Suite; experience with project management software is a plus.
  • Exposure to contracts management a plus, but not required.
  • Solid career tenure demonstrating professionalism, discretion, and reliability.
