Chief of Staff (Bilingual Spanish)


We are seeking a highly organized, strategic, and bilingual Chief of Staff to serve as the trusted advisor and business partner to a senior executive and executive leadership team.


This highly visible position combines executive leadership support, strategic planning, business operations, project management, and executive communications to help ensure organizational priorities are executed with discipline, accountability, and efficiency.

The Chief of Staff will act as an extension of executive leadership by coordinating strategic initiatives, managing executive priorities, facilitating communication across departments, preparing executive-level presentations and reports, and ensuring follow-through on key decisions.


The ideal candidate is a highly organized professional with exceptional business judgment, strong executive presence, outstanding communication skills, and the ability to work effectively across multiple departments and international teams.

Fluency in both English and Spanish (written and spoken) is required to effectively communicate with internal stakeholders, clients, and business partners throughout North America and Latin America.


Key Responsibilities

Executive Leadership Support

  • Serve as the primary strategic partner and trusted advisor to a senior executive.
  • Manage executive priorities, ensuring strategic initiatives remain on schedule and aligned with organizational goals.
  • Coordinate executive leadership meetings, including agendas, presentations, meeting materials, action items, and follow-up.
  • Maintain executive dashboards, decision logs, project trackers, and leadership communications.
  • Coordinate executive calendars, domestic and international travel, meeting logistics, and special events.
  • Prepare executive briefing materials, business reviews, board presentations, and client meeting materials.
  • Draft executive correspondence and confidential communications.


Strategic Planning & Business Operations

  • Translate executive priorities into actionable plans with defined milestones, deliverables, and accountability.
  • Coordinate cross-functional initiatives involving Operations, Finance, Sales, Marketing, Customer Success, Information Technology, Human Resources, and other business units.
  • Monitor organizational priorities, proactively identifying risks, dependencies, and opportunities.
  • Support annual strategic planning, quarterly business reviews, executive reporting, and organizational planning activities.
  • Develop executive dashboards, KPI reporting, business performance metrics, and operational updates.
  • Recommend process improvements that enhance organizational effectiveness and operational efficiency.


Project Management

  • Lead and coordinate high-priority strategic initiatives across multiple departments.
  • Facilitate collaboration between executive leadership and functional teams to ensure timely execution.
  • Prepare executive summaries, decision papers, presentations, and leadership communications.
  • Track project milestones, deliverables, risks, and action items while ensuring accountability across stakeholders.
  • Support change management initiatives and organizational transformation projects.


Executive Communications & Stakeholder Management

  • Build strong relationships across executive leadership, department heads, and key internal stakeholders.
  • Serve as a liaison between executive leadership and cross-functional teams.
  • Facilitate communication, alignment, and execution across geographically dispersed teams.
  • Ensure consistency in executive communications, planning materials, reporting, and governance processes.
  • Handle highly confidential information with professionalism, discretion, and sound judgment.


Qualifications

  • Bachelor's degree in Business Administration, Management, Finance, Communications, or related field preferred.
  • 5+ years of experience supporting senior executives in a Chief of Staff, Executive Business Partner, Executive Operations, Strategy & Operations, Program Management, Business Operations, or similar leadership role.
  • Fluent in both English and Spanish (written and verbal) is required.
  • Experience working with executive leadership in a fast-paced, global business environment.
  • Strong business acumen with the ability to understand organizational priorities and translate strategy into execution.
  • Demonstrated experience coordinating cross-functional initiatives and executive-level projects.
  • Advanced Microsoft Office skills, including Excel, PowerPoint, Word, Outlook, and Teams.
  • Experience creating executive presentations, dashboards, business reviews, and strategic reports.


Preferred Qualifications

  • Experience supporting C-suite executives.
  • Experience working in multinational or global organizations.
  • PMP or other project management certification is a plus.
  • Experience leading organizational initiatives and executive communications.
