Kaya Dental is looking for an experienced Dental Business & Operations Lead who is ready to take ownership of the business side of a thriving private practice.

This is much more than a traditional office manager position. We are seeking a leader who understands insurance, accounts receivable, scheduling, and practice operations—and who enjoys creating efficient systems that allow a practice to thrive.

What You'll Do

Insurance & Revenue Cycle Management

  • Manage insurance verification and patient eligibility
  • Submit, monitor, and resolve insurance claims
  • Proactively manage insurance aging and accounts receivable
  • Follow up on outstanding claims and unpaid balances
  • Help improve collections and overall revenue cycle performance

Practice Operations

  • Oversee daily front office systems and workflows
  • Optimize provider and hygiene schedules for maximum efficiency
  • Identify operational bottlenecks and implement practical solutions
  • Help establish systems that allow the practice to operate efficiently, even when ownership is not onsite
  • Support the implementation of new operational processes and best practices

Software & Systems

  • Assist with the practice's transition from Dentrix to Archie
  • Learn the new platform and help optimize workflows
  • Identify opportunities to improve reporting, communication, and operational consistency
  • Help train team members on updated systems and processes

Patient Experience

  • Ensure every patient receives an exceptional experience
  • Improve scheduling, communication, and patient follow-up processes
  • Support patient retention and referral initiatives
  • Create a welcoming, organized front office environment

Team Leadership

  • Lead by example with a positive, collaborative attitude
  • Foster accountability and teamwork throughout the office
  • Support ongoing staff development and process improvements
  • Build consistency across all front office systems

Business Performance

Monitor and help improve key practice metrics, including:

  • Production
  • Collections
  • Insurance aging
  • Schedule efficiency
  • Accounts receivable
  • Patient retention
  • Operational effectiveness

Qualifications

Required

  • 3–5+ years of dental office management or high-level front office leadership experience
  • Strong knowledge of dental insurance, eligibility verification, claims processing, and accounts receivable
  • Experience managing insurance aging and improving collections
  • Excellent organizational, communication, and leadership skills
  • Strong understanding of dental scheduling and workflow optimization
  • Ability to manage multiple priorities in a fast-paced environment

Preferred

  • Experience using Dentrix
  • Experience implementing or transitioning to new practice management software
  • Familiarity with Archie or other cloud-based dental software
  • Proven success improving office systems, workflows, and operational performance
  • Experience working with production and collections reporting
