KēSTA I.T is actively seeking a Project Coordinator for an immediate contract engagement with our client.
Job Description:
We Are Seeking an organized and detail-oriented Project Coordinator to support the planning, coordination, and execution of information technology projects and programs. This position will work closely with project managers, business teams, technical staff, and other stakeholders to coordinate project activities, maintain documentation, track deliverables, and ensure projects remain on schedule. The ideal candidate will have strong project coordination experience, excellent communication skills, and the ability to manage multiple priorities while maintaining accurate project information and reporting.
Responsibilities:
· Coordinate and organize cross-functional IT project activities to help ensure deliverables are completed accurately and on schedule.
· Schedule project meetings, prepare agendas when needed, document meeting minutes, and distribute follow-up communications and action items.
· Monitor project documentation, deliverables, milestones, and assigned activities to ensure timely completion.
· Conduct follow-ups with project team members and stakeholders to track outstanding tasks and resolve scheduling or coordination issues.
· Collaborate with project managers and business stakeholders to document project scope, objectives, requirements, and key deliverables.
· Assist with requirements gathering, design discussions, application development coordination, testing activities, training preparation, and implementation or rollout schedules.
· Maintain accurate project schedules, resource forecasts, task assignments, and status information within project management and reporting tools.
· Prepare project status reports and other communications to keep customers and stakeholders informed of progress, upcoming activities, milestones, and potential concerns.
· Assist with the preparation of project communications, including emails, newsletters, presentations, and other stakeholder materials.
· Maintain project Risks, Actions, Issues, and Decisions (RAID) logs and ensure items are appropriately tracked and communicated.
· Support project managers with customer and stakeholder management activities, including expectations, status updates, escalations, and follow-up.
· Assist in documenting lessons learned, retrospective findings, and opportunities for process improvement.
· Maintain effective communication and productive working relationships with project team members and stakeholders.
· Help identify scheduling conflicts, resource constraints, risks, and other issues that could affect project timelines.
· Provide general project administration and coordination support throughout the project lifecycle.
· Perform additional project coordination and administrative responsibilities as needed.
Required Skills
· 3+ years of recent, verifiable project management or project coordination experience.
· 3+ years of experience supporting project activities and managing large scale project schedules, documentation, and deliverables.
· 1+ years of experience with Workday ERP or other enterprise resource planning systems.
· Experience coordinating information technology projects involving multiple teams, stakeholders, and deliverables.
· Experience assisting with or coordinating large-scale programs or complex projects is required.
· Strong proficiency with Microsoft Office applications, including Teams, Word, Excel, PowerPoint, and Outlook.
· Experience with Asana or comparable project management and task-tracking platforms.
· Strong organizational and time-management skills with the ability to coordinate multiple projects, deadlines, and priorities.
· Excellent written, verbal, and presentation skills.
· Ability to communicate effectively with executive leadership, business stakeholders, technical teams, customers, and project team members.
· Strong analytical and problem-solving abilities with excellent attention to detail.
· Experience preparing project status reports, presentations, schedules, action-item tracking, and project communications.
· Familiarity with RAID logs, project risks, issues, decisions, and action tracking.
· Ability to work independently, follow up effectively, and maintain accountability for assigned project activities.
· Experience supporting large-scale program implementations is preferred.
· Experience implementing or supporting business processes within a government or similarly structured organization is preferred.
· PMP or CAPM certification is preferred.
· Ability to adapt to changing priorities and effectively manage multiple tasks in a deadline-driven environment.
