ABOUT THE OPPORTUNITY
Do you enjoy keeping things organized, catching missing details, and making sure tasks get finished? Sam Hill Tree Care is looking for a bilingual Operations Administrative Coordinator to help our Tree Care and Plant Health Care teams run smoothly.
We provide tree and landscape health care throughout the Dallas–Fort Worth area. In this role, you’ll keep the records, supplies, paperwork, and follow-up behind our field operations on track—giving our operations leaders more time to support their crews. You’ll have established procedures, training, and support, along with responsibility for handling routine administrative work from start to finish.
WHAT YOU’LL DO
- Review crew timesheets, job records, and employee paperwork for accuracy, working directly with employees to resolve missing or incorrect information.
- Track inventory and coordinate routine purchasing of supplies, safety gear, uniforms, and equipment so crews have what they need.
- Keep licenses, certifications, training, and inspection records current, following up before deadlines are missed.
- Coordinate PTO and absence paperwork, signatures, and other employee documentation for payroll and administrative processing.
- Prepare materials for operations and safety meetings, document action items, and follow through on assigned tasks.
- Maintain incident documentation and track required administrative follow-up through completion.
- Notice recurring problems, recommend practical improvements, and bring issues requiring management decisions to the appropriate leader.
WHAT WE’RE LOOKING FOR
- Bilingual English/Spanish communication skills, with the ability to communicate effectively with field crews and office staff.
- Strong organization and attention to detail. You use checklists and systems, notice what’s missing, and follow through without repeated reminders.
- Confidence asking questions, following established procedures, and resolving routine issues within your authority.
- Working knowledge of Google Workspace, including Gmail, Drive, Docs, Sheets, and Calendar, plus a willingness to learn new software.
- Comfort working around field operations, including spending time in the shop or yard and occasionally delivering equipment to a job site.
- Reliable attendance and punctuality for a 6:30 a.m. start, when crews arrive and morning coordination begins.
- A high school diploma and valid Texas Class C driver’s license. Some college is preferred.
Administrative experience supporting construction, landscaping, manufacturing, logistics, or another field-based business is especially helpful. Experience with inventory, purchasing, timekeeping, compliance tracking, or ArborGold is a plus. Tree care or other green-industry experience is welcome.
