Compensation: $80,000-$100,000 base + performance bonuses

The Role

We’re seeking a tech-savvy Executive Administrator to partner directly with our leadership team. This role blends executive support, customer service, and project coordination with a strong emphasis on technology, process improvement, and adaptability. The right candidate will be proactive, detail-oriented, and eager to take ownership of projects that drive efficiency and impact.

You’ll be a go-to resource for leadership, a liaison between clients and operational teams, and someone who thrives on juggling multiple priorities in a dynamic environment.

Key Responsibilities

Executive & Administrative Support (40%)

  • Coordinate leadership and companywide meetings, including agendas and recaps
  • Support annual client business reviews, proposals, and presentations
  • Assist with budgeting, reporting, and analysis using Excel, ERP, and AI tools
  • Manage and improve shared resources (SharePoint, files, client contracts)
  • Support HR administration, onboarding, benefits, and compliance as needed
  • Oversee sample shipments and general administrative tasks

Customer Service & Client Liaison (30%)

  • Act as liaison between clients and retail partners, ensuring purchase orders and deliveries are accurate and on time
  • Resolve PO issues, returns, and escalations with attention to detail
  • Adapt communication style depending on whether you’re working with clients, shipping teams, or retail partners
  • Provide backup support to operations administrators during vacations

Projects & Process Improvement (30%)

  • Lead or assist in tech-driven projects (AI adoption, workflow design, reporting dashboards)
  • Manage and improve SharePoint permissions and IT security processes
  • Support trade show coordination and follow-up
  • Conduct research, market analysis, and “competitive shops” to deliver insights
  • Contribute to special initiatives such as internship programs, new systems integration, and continuous training

About You

  • Advanced technical skills: Microsoft 365 (Excel, PowerPoint), CRM/ERP, cloud tools, AI adoption
  • Highly organized, with strong attention to detail and follow-through
  • Confident communicator with excellent written and verbal skills
  • Able to adapt quickly, anticipate needs, and work independently
  • Comfortable managing multiple projects in a fast-paced environment
  • Interested in AI, data analysis, and workflow improvement
  • Background in IT support, customer service, or business operations a plus
  • Curious, proactive, and eager to learn
