About the Role
We're hiring a Recruiting Coordinator / Operations professional to help build a best-in-class recruiting engine as we scale. This is a coordination-heavy role, but the scope extends well beyond scheduling. You'll own the systems and processes that keep the recruiting team organized and operating efficiently, while continuously identifying opportunities to improve them.
You'll help build the processes, documentation, and tooling that scale with the company—not just execute existing workflows.
Recruiting Operations
- Maintain data integrity across the ATS (Ashby) and recruiting tools, regularly auditing systems to ensure information remains accurate and up to date.
- Track interview feedback completion and follow up with stakeholders to ensure SLAs are met.
- Maintain recruiting documentation and internal communication channels, including Slack.
- Track and analyze key recruiting metrics, including time-to-fill, interview-to-offer ratio, and source effectiveness.
- Bring data-driven recommendations to improve recruiting performance and efficiency.
- Identify process gaps and propose scalable improvements.
- Contribute to broader recruiting initiatives, including employer branding, onboarding enhancements, and operational improvements.
Candidate Scheduling & Experience
- Own end-to-end interview scheduling across candidates, hiring managers, and interview teams.
- Manage high-volume interview coordination across multiple time zones, calendars, and stakeholders while maintaining a world-class candidate experience.
- Coordinate all interview logistics, including travel arrangements, expense management, room setup, and technical support.
- Serve as the primary point of contact for candidates from initial screening through offer stage, ensuring timely, professional, and personable communication.
- Anticipate scheduling bottlenecks by monitoring interviewer availability, proactively identifying conflicts, and helping maintain hiring velocity.
- Leverage Ashby's scheduling and automation tools to streamline processes and reduce manual work.
About You
- Based in San Francisco and available to work onsite five days per week.
- 2+ years of experience as a Recruiting Coordinator or in a similar recruiting operations role.
- Proven ability to work independently and manage multiple priorities simultaneously.
- Previous experience in a SaaS or technology startup environment strongly preferred.
- Comfortable operating in fast-paced, ambiguous environments where priorities can shift quickly.
- Proficient with Ashby, including strong data hygiene practices and the ability to pull and analyze recruiting pipeline reports.
- Excellent interpersonal skills with the ability to build trust quickly with hiring managers, candidates, and cross-functional partners.
- Highly organized and detail-oriented, with a track record of successfully managing multiple open roles and recruiting processes.
- Possess a "do what it takes" mindset—proactive, dependable, and resourceful, with the ability to anticipate needs, take initiative, and ensure nothing falls through the cracks.

Compensation
$110,000–$130,000 base salary + equity + comprehensive benefits package
