Workplace Manager

This is a fully in-office role, Monday–Friday, based in San Francisco.

About the Role
We're looking for a Workplace Manager to own the heartbeat of our San Francisco headquarters. You’ll own end-to-end operations, elevate the workplace experience, and build the systems that help us scale. You'll report to the People & Culture Lead and work closely with IT, Finance, and leadership to keep operations running smoothly and culture thriving.
Office Operations & Facilities
- Ensure an always-ready office: clean, stocked, accessible, and welcoming to employees and guests every day.
- Serve as the first point of contact for employees and visitors, creating a welcoming and professional experience.
- Own daily office operations, including shared space upkeep, inventory management, and pantry programs.
- Manage incoming and outgoing mail, packages, and courier services; establish reliable processes for receipt, distribution, and outbound shipping.
- Manage relationships with building management and service vendors (janitorial, maintenance, repairs, security), including contracts and certificates of insurance (COIs).
- Oversee physical security and access processes, including badge coordination, visitor workflows, vendor access, and compliance with building requirements.
- Partner with the IT/Security team to ensure office-facing systems (A/V, conference rooms, access workflows) function reliably.
- Own and manage the workplace and facilities budget, including spend tracking, invoice processing, and variance reporting.
- Serve as the office point of contact for health, safety, and emergency preparedness, including fire warden coordination, first aid supply management, and compliance with local regulations.
- Identify and implement process improvements that reduce friction and increase operational reliability.
Events
- Support logistics for team onsites hosted in San Francisco, including space setup, catering coordination, and on-the-ground execution.
- Track budgets, contracts, and feedback to continuously improve quality and efficiency.
- Support logistics and onsite execution for company offsites as needed.
Space & Workplace Logistics
- Support new hire onboarding logistics, including workspace setup.
- Maintain seating plans and manage desk moves, team reconfigurations, and workspace assignments.
- Anticipate workspace and supply needs (desks, chairs, monitors, meeting rooms, shared supplies) and coordinate procurement.
- Partner with the People & Culture Lead to support office buildouts, expansions, and moves as needed.
- Support sustainability and waste programs (composting, recycling, and other ESG-related office initiatives) in coordination with building management and vendors.
Requirements
- 3–5+ years of experience in office management, workplace operations, facilities coordination, or a related role.
- Familiarity navigating the requirements of a union building.
- Strong vendor management skills, including the ability to work through issues quickly and professionally.
- Excellent organizational habits and follow-through, with comfort managing multiple priorities simultaneously.
- Experience bringing people together and fostering culture in a rapidly changing environment.
- High attention to detail and pride in running a polished, welcoming office.
- Strong written and verbal communication skills.
- Calm under pressure, adaptable, and proactive in solving problems before they escalate.
- Availability and interest in being onsite in a San Francisco headquarters five days per week.
- Flexibility to accommodate early or late hours as needed for events and onsite coordination.

Compensation
$150,000–$160,000 base salary + equity + comprehensive benefits package
